About the Role:
This role keeps our biweekly payroll accurate and on time while also handling day-to-day accounting and basic HR administration. Payroll is a major part of the job and requires careful follow-through, confidentiality, and prompt help with employee questions. You will work closely with the CFO, manage recurring deadlines, and pitch in across accounting and HR as needs come up in a small company.

- Run biweekly payroll in ADP accurately and on time.
- Review hours, pay rates, deductions, benefits, taxes, and employee changes before each payroll.
- Handle payroll updates for new hires, terminations, and compensation changes.
- Reconcile payroll reports to the general ledger and fix discrepancies.
- Maintain payroll records and support payroll tax filings, W-2s, and related reporting.
- Answer employee payroll questions and protect confidential pay information.
- Support onboarding and offboarding processes.
- Coordinate employee benefit enrollment, changes, and terminations.
- Assist employees with general HR, benefits, and payroll questions.
Bookkeeping
- Handle accounts payable, accounts receivable, journal entries, and routine bookkeeping in QuickBooks.
- Reconcile bank, credit card, payroll, and general ledger accounts.
- Help with month-end and year-end close, reports, schedules, and audit requests.
- Research and correct accounting differences.
- Provide practical finance and administrative support to the CFO.

What We’re Looking For:
- 3–5 years of hands-on experience in payroll, accounting, or HR administration.
- Direct experience running payroll in ADP RUN or ADP Workforce Now is required.
- Working knowledge of QuickBooks, payroll reconciliations, and basic U.S. accounting practices.
- Advanced Excel skills are required; experience with Power BI and Power Automate is a plus
- Strong organization, attention to detail, and ability to meet payroll and accounting deadlines.
- Good judgment with confidential employee and financial information.
- Ability to work independently, communicate clearly, and shift between priorities.
- Bilingual in English and Spanish is required.
