Responsibilities
- Greet patients warmly, verify their insurance information, and assist with check-in procedures using Electronic Health Record (EHR) systems such as Epic, Meditech, or Athenahealth.
- Schedule patient appointments accurately, coordinate follow-up visits, and manage calendar updates using medical scheduling software.
- Verify insurance coverage, process payments, and handle collections related to medical billing and coding, including CPT coding, ICD-9/10 codes, and Medicare claims.
- Maintain and update patient records in compliance with HIPAA regulations, ensuring confidentiality of sensitive health information.
- Answer multi-line phone systems professionally, provide excellent customer service, and direct calls appropriately.
- Review documentation for accuracy, assist with medical record requests, and support clinical staff with administrative tasks such as filing and data entry.
- Support clinic operations by managing office supplies, organizing files (both digital and paper), and assisting with intake procedures for new patients.
Requirements
- Proven experience as a Medical Receptionist or in a similar medical office administrative role with clinic or hospital experience preferred.
- Strong knowledge of EMR/EHR systems such as Epic, Meditech, eClinicalWorks, or Athenahealth; familiarity with Eaglesoft or Dentrix is a plus for dental clinics.
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and typing skills (10 key typing).
- Understanding of health insurance processes including verification, billing procedures, Medicare/Medicaid policies, and health information management.
- Knowledge of medical terminology, clinical confidentiality policies (HIPAA), and documentation review standards.
- Ability to communicate effectively via phone etiquette in a professional manner; bilingual skills are highly desirable.
- Exceptional organizational skills with attention to detail in filing, data entry, and appointment scheduling.
- Strong interpersonal skills to provide outstanding patient service in a busy healthcare setting.
- Office management experience including handling multi-line phones, insurance verification, and front desk operations is preferred.
