PURPOSE/SUMMARY:
The Receptionist/Customer Service Representative serves as the first point of contact and ambassador for Tomarco Contractor Specialties, (dba ISAT Total Support), delivering professional and welcoming experience to clients, vendors, and internal teams. This full-time, in-office position is essential to supporting daily front-office operations, ensuring seamless communication, and providing administrative support within a fast-paced construction engineering environment.
This role is designed for a highly organized, service-oriented professional who thrives in a professional office setting and is eager to contribute to a growing organization while supporting multiple departments and leadership.
ESSENTIAL DUTIES (including but not limited to):
- Provide the day-to-day administrative support to the Director of Operations and the Executive Assistant to the President.
- Answering multiple phone lines, screening & directing calls.
- Receive, sort, and distribute incoming mail.
- Prepare correspondence and documents.
- Knowledge of correct English usage, grammar, spelling, punctuation, and vocabulary.
- Operates office equipment such as personal computer, calculator, copier, postal machine & etc.
- Ability to sort and file alphabetically and numerically.
- Ability to plan, organize and prioritize work.
- Any project related task such as gathering information, creating binders and presentation materials, entering data, creating charts, etc.
- Forward any incoming PO or Quote to appropriate person.
- Handle all outgoing mail, filing of AP and W-9 end of year tax preparation.
- Ability to generate UPS, Fed-Ex & USPS shipments.
- Support Director of Operations and Sales Managers with their requests for information, customer forms etc.
- Perform other duties as assigned.
QUALIFICATIONS AND SKILLS:
- High School Diploma required; college coursework or degree preferred.
- Minimum of two (2) years of experience in a Receptionist, Customer Service, or Front Office administrative role.
- Strong customer service skills in a fast-paced, multi-line phone environment.
- Professional and courteous phone presence with excellent interpersonal skills.
- Highly organized, detail-oriented, punctual, and able to manage multiple priorities and deadlines.
- Proficiency in Microsoft Office (Outlook, Word, Excel) required.
- Ability to communicate clearly and professionally, both verbally and in writing, with internal and external stakeholders.
- Ability to work independently, follow instructions, and exercise sound judgment.
- Construction, engineering, or manufacturing environment experience preferred.
- Bilingual (Spanish) a plus.
- Professional appearance and demeanor required.
