Job Description:
Isaac Heating & Air Conditioning is seeking an Executive Assistant for their Rochester, NY location. The executive assistant to the CEO will provide comprehensive support to the CEO as well as other executive team members (CFO, Controller, etc). The ideal candidate will be an excellent problem solver who excels at communication, organization and planning. This position will play a key role in meeting our organizational goals and upholding our values.

Responsibilities:
- Administrative support for the CEO and CFO as needed including scheduling, travel, expense reports, meeting scheduling and assisting with organization of company events.
- Assist the administrative officers/administrative teams with email, signatures, meeting coordination, running reports and distributing as needed.
- Compose, prepare, and proofread correspondence, meeting minutes, expense reports, while maintaining confidential information when required. As well as processing of bank statement.
- Design and implement forms for use within office and update as needed.
- Maintain e-files in an organized and accessible manner to include scanning and maintaining documents in electronic archive.
- Provide high-level administrative support for special projects to include research, compiling data and preparation of summary reports based on results.
- Assist with the management of the organization’s uniform program.
- Coordination of sending out monthly birthday cards, anniversary gifts and sending appreciation cards to technicians for overtime worked to qualifying employees.
- Perform other duties as assigned
Job Qualifications:
- A bachelor’s degree in business administration or a related field is often preferred.
- 5 years of experience in an administrative role that reports to executive management.
- Certified Administrative Professional (CAP or Certified Executive Assistant (CEA) certification, a plus.
- Advanced knowledge of overall office equipment.
- Experience dealing with licenses and permits for NYS HVAC (electrical and plumbing requirements), a plus.
- Coursework or experience related to management, HVAC, plumbing, or construction preferred.
- Proficiency in Microsoft Office, including Word and Excel.
Competencies:
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Proficient in verbal and written communication to interact with various stakeholders
- Capable of anticipating needs and addressing issues proactively.
- Strong skills in Word, Excel, PowerPoint and Outlook are essential for document preparation and data management.

The starting salary range for this position is $60,000-70,000. This is the range of the base pay only, it does not include other components that make up the total compensation package of the position. If offered a position, your total compensation package will be determined by experience, location, skills, and/or education which may result in a total compensation package that falls outside of the provided range.
