Position Summary

The Capital Campaign Specialist leads the planning, coordination, and successful execution of the organization’s Capital Campaign and major fundraising initiatives. This position works closely with development leadership, executive staff, board members, campaign volunteers, donors, and community partners to cultivate relationships, coordinate campaign activities, manage donor information, and help achieve fundraising goals. The ideal candidate is highly organized, relationship-focused, detail-oriented, and comfortable managing multiple priorities while maintaining professionalism and confidentiality.

 

Essential Duties & Responsibilities

  1. Direct day-to-day activities associated with the capital campaign, including campaign timelines, meetings, events, donor communications, and follow-up activities.
  2. Lead the identification, cultivation, solicitation, and stewardship of prospective major donors.
  3. Maintain accurate donor and prospect records, including contact information, giving history, pledges, payments, meeting notes, and campaign activity.
  4. Prepare donor correspondence, acknowledgment letters, campaign materials, presentations, proposals, pledge documents, and reports.
  5. Direct leadership and campaign volunteers in preparing for donor meetings and solicitation activities.
  6. Track campaign goals, pledges, gifts, outstanding balances, and overall fundraising progress.
  7. Lead campaign committee and volunteer meetings, including scheduling, agendas, materials, meeting notes, and follow-up assignments.
  8. Conduct prospect research to identify individuals, businesses, foundations, and community partners with potential interest in supporting the campaign.
  9. Develop and maintain positive relationships with donors, prospects, volunteers, board members, and community stakeholders.
  10. Coordinate donor recognition and stewardship activities to ensure donors receive timely and appropriate acknowledgment.
  11. Work with finance and development staff to reconcile campaign gifts, pledges, and donor records.
  12. Assist with campaign-related events, donor receptions, tours, presentations, and community engagement activities.
  13. Maintain strict confidentiality regarding donor information, contributions, organizational information, and campaign strategy.
  14. Provide regular campaign progress reports to Executive Leadership and the Board of Directors.
  15. Perform other duties as assigned.

 

Qualifications:

Non-Essential Duties & Responsibilities

  1. Assist with general administrative tasks for the Development Department, including filing, copying, scanning, and document organization.
  2. Assist with data entry tasks unrelated to the capital campaign, including general donor database maintenance and updates.
  3. Provide occasional support for other fundraising initiatives outside the capital campaign, such as annual giving or small fundraising events.
  4. Perform other general administrative or departmental duties as assigned.

Education/Training

 

  1. Bachelor’s degree in nonprofit management, communications, business, marketing, public relations, or a related field preferred; equivalent professional experience may be considered.
  2. [2–5] years of experience in fundraising, development, donor relations, nonprofit administration, sales, or a related field preferred.
  3. Experience supporting capital campaigns, major gifts, or other significant fundraising initiatives is strongly preferred.
  4. Strong written and verbal communication skills.
  5. Excellent organizational, project-management, and follow-through skills.
  6. Ability to establish and maintain professional relationships with donors, volunteers, board members, staff, and community leaders.
  7. Ability to handle sensitive and confidential information with discretion.
  8. Strong attention to detail and ability to maintain accurate records.
  9. Proficiency with Microsoft Office or Google Workspace.
  10. Experience with donor-management or CRM systems such as Bloomerang, Salesforce, or applicable system preferred.

 

Necessary Special Qualifications

Must be eighteen years of age or older and possess a valid Driver’s License.

The successful candidate should demonstrate strong interpersonal skills, professional judgment, initiative, and the ability to work independently and collaboratively. The position requires the ability to manage competing deadlines, communicate effectively with diverse audiences, and provide a high level of donor service. Be a flexible team player.  Must be able to appropriately interact with all levels of skilled and non-skilled employees of IWC.  Ability to manage in a proactive manner with a positive attitude

 

Working Conditions:

This position primarily operates in a professional office environment but may require attendance at donor meetings, community events, campaign activities, and other functions outside normal business hours. Some local travel and occasional evening or weekend work may be required.

 

Other Qualifications or Requirements:

 

Mental Effort:    Ability to understand and follow complex verbal & written instructions, technical and computer language as well as legal terminology. Good common sense thinking and ability to function independently. Good problem-solving ability.

 

Visual Effort:     Well-lighted office environment requiring average amount of visual effort.

 

Physical Requirements: Office environment not usually requiring ongoing strenuous physical qualifications. May require occasional lifting of 40 pounds.

 

Safety:  Typically, low risk of injury due to typical office environment. IWC’s philosophy is to provide the safest work environment possible while meeting requirements from OSHA and other regulatory agencies.

 

Working Conditions: Normal office environment, which is not exposed to extremes in temperature, humidity, dust, or pollutants.
