Staff Accountant (All-In-One Accounting Role)

Salary Range: $80,000 - $95,000 annually (depending on experience and qualifications)

Position Summary

IRBIS HVAC Inc., a growing commercial HVAC service and installation company serving the greater San Jose area, seeks an ambitious Staff Accountant to serve as our sole in-house accounting team member. This hands-on role reports directly to the CFO and handles all daily bookkeeping and accounting functions for our service operations. You'll receive hands-on oversight, reporting support, monthly reviews, and professional coaching from our outsourced accounting partner to accelerate your growth toward an Accounting Manager role within 2 years.

Key Responsibilities

Daily Bookkeeping & Operations (100% hands-on):

·       Complete ownership of QuickBooks Online: AP/AR, invoicing, payments, reconciliations

·       Full-cycle bookkeeping for HVAC service contracts, installation projects, and inventory

·       Bank, credit card, and vendor account reconciliations

·       Job costing and project profitability tracking

·       Payroll processing and employee expense management

·       Accounts payable management and vendor payments

·       Accounts receivable management and timely collections

·       Inventory management and reconciliations 

·       Attention to detail, organizational skills, and ability to meet deadlines

Month-End & Reporting (with outsourced support):

·       Prepare trial balances and reconciliations for monthly review

·       Assist outsourced partner with accruals, prepaid analysis, and fixed assets

·       Track tax compliance and California reporting requirements

·       Support annual tax filings

Growth Path Responsibilities:

·       Learn monthly close processes, financial statement preparation, and variance analysis

·       Shadow outsourced partner on budgeting, forecasting, and management reporting

·       Develop skills to transition to Accounting Manager role within 2 years

Required Qualifications

·       4-7 years of progressive bookkeeping/accounting experience

·       QuickBooks Online proficiency (end-to-end mastery required)

·       Advanced Excel skills (pivot tables, VLOOKUPs, data analysis)

·       Experience with job costing and service/contracting industry preferred

·       Payroll processing experience

·       Self-starter comfortable working independently with CFO and outsource oversight

·       Strong organizational skills and ability to handle multiple deadlines

·       Excellent communication skills for operations and CFO reporting

Preferred Qualifications

·       Bachelor's degree in Accounting, Finance, or related field

·       Experience owning full accounting function for SMB ($10M-$20M revenue)

·       CPA certification or working towards CPA is advantageous

·       HVAC/Plumbing/Electrical/Construction industry experience a plus
