Overview of the Team

This role is designed for a highly strategic and trusted partner to the CEO and executive leadership team. Acting as an extension of the CEO’s office, you will ensure priorities are executed seamlessly and the CEO’s time is optimized for high-impact decisions. Beyond traditional administrative duties, this position requires strong business acumen, project coordination skills, and the ability to serve as a liaison across the organization and with external stakeholders.


You will manage complex calendars, oversee CEO and Executive priorities, and drive initiatives that enhance leadership effectiveness. This role demands discretion, exceptional organizational skills, and the ability to anticipate needs in a fast-paced environment.


Role Overview:


Direct CEO Support

  • Serve as the primary point of contact for the CEO, managing all aspects of scheduling, communications, and follow-ups.
  • Anticipate CEO needs and proactively prepare briefing materials, strategic insights, and decision-support documents.
  • Coordinate CEO’s participation in board meetings, investor sessions, and high-level client engagements.
  • Draft and review executive communications, speeches, and presentations for internal and external audiences.
  • Manage confidential matters with discretion and professionalism.



Executive Support & Strategic Coordination

  • Track and monitor progress on CEO-led strategic initiatives, ensuring alignment across business units.
  • Partner with the CEO and other internal functions on organizational planning, leadership priorities, and executive team coordination.
  • Facilitate leadership offsites, quarterly business reviews, and global town halls, including agenda development and content preparation.
  • Act as a liaison between the CEO and senior leadership, ensuring timely execution of action items.
  • Draft executive-level communications, presentations, and reports for internal and external audiences.


Project & Operational Management

  • Lead s special projects and cross-functional initiatives on behalf of the CEO, ensuring deliverables are met, risks are mitigated and outcomes are achieved.
  • Oversee executive dashboards, KPIs, and reporting for CEO visibility.
  • Oversee event planning for executive and company-wide initiatives, including strategy sessions and global town halls.
  • Coordinate leadership offsites, board meetings, and investor sessions, including agenda development and content preparation.
  • Maintain and update organizational charts and governance documentation.


Travel & Expense Management

  • Develop comprehensive international travel itineraries, ensuring contingency planning and risk mitigation for the CEO.
  • Manage expense reporting and procurement processes for the CEO and executive leadership team.


How You Will Make an Impact:

  • This is not a traditional EA role—it’s an opportunity to operate at the intersection of administration and strategy, providing critical support that enables our CEO and Executives to focus on high-impact decisions.
  • Represent the CEO’s office with professionalism and discretion, maintaining confidentiality at all times.
  • Serve as the central communication hub for the CEO’s office, ensuring timely and accurate information flow between internal teams and external stakeholders.
  • Enhance organizational efficiency by streamlining processes, improving executive workflows, and implementing best practices for time and resource management.
  • Contribute to a culture of excellence by identifying opportunities for improvement and driving continuous innovation in executive support operations.


Essential Skills and Experience to be Successful in this Role:

  • 10 years supporting senior executives, with at least 3 years in a role involving strategic or Chief of Staff responsibilities.
  • Exceptional organizational and prioritization skills with the ability to manage competing priorities.
  • Strong business judgment and ability to handle confidential information with integrity.
  • Advanced proficiency in MS Office Suite and collaboration tools.
  • Experience in project management and executive-level communications.


Desired Skills and Experience:

  • A minimum of 5 years of progressive administrative experience.
  • Multitasking ability to be able to carry out more responsibilities as they arise throughout the day/week.
