What are the responsibilities and job description for the Administrative Assistant to Superintendent & Business Manager position at Iowa Valley Community School District?
Iowa Valley CSD (Marengo, IA) is currently looking for an Administrative Assistant to the Superintendent & Business Manager.
This position is full time and year round. Pay will be hourly. Hours will be set by the Superintendent and Salary will be recommended by the Superintendent within the Board established range.
The ideal candidate for this position will be able to assist the superintendent and business manager in the efficient operation of the central administration office. They will also assist the administration and business manager in meeting the goals of the District in a professional manner that provides a positive environment for students, staff and the general public.
Main Duties include:
- Performing secretarial duties as assigned by superintendent.
- Answering and directing telephone calls for the superintendent’s line and assisting with the high school office phone line.
- Assisting business manager with nutrition and activities fund accounting; writing checks for approved expenditures for these funds.
- Acting as receptionist for superintendent and business manager as needed.
- Completing daily mail responsibilities, including metering mail for both buildings, opening and separating incoming mail for superintendent and business manager, and sending faxes as necessary for school personnel.
- Preparing reports, memos/letters, presentations, databases, spreadsheets, etc. as deemed necessary.
- Updating and publishing yearly employee listing and phone directory.
- Inputing all purchase orders for the District Office.
- Processing invoices for payment:
- Verifing goods have been received and services have been completed;
- Attaching packing slips or other verification to purchase orders;
- Forwarding invoices to the business manager for approval.
- Coding and entering invoices into finance system;
- Filing paid invoices
- Counting, receipting and depositing monies received from staff for activities, fundraisers, meal accounts, etc. as necessary.
- Completing duties associated with the school nutrition program.
- Completing duties associated with student registrations.
- Updating the district’s bus driver and vehicle information on DE website.
- Assisting district transportation director and superintendent with transportation issues, including updates of bus route information, vehicle inspections, drivers’ physical exams, in-services, vehicle scheduling, etc.
- Performing other duties as required by law, by the superintendent, business manager, or by the board.
- Other duties as assigned.
