Job Summary
We are seeking a friendly, organized, and customer-focused Office Coordinator to join our media company. This individual will be the first point of contact for walk-in customers, assisting with advertising inquiries, subscriptions and account payments. The ideal candidate will also make outbound sales calls to local businesses, helping to grow our advertising partnerships and overall readership. You will have the opportunity to work with all Iowa Information Media Group papers and team members in other locations.
Key Responsibilities
- Greet and assist walk-in customers with advertising requests, subscription questions, and general inquiries.
- Process payments accurately and efficiently, including handling cash, checks, and electronic transactions.
- Make outbound sales calls to local businesses to promote advertising opportunities and build long-term client relationships.
- Maintain an organized and welcoming front desk area.
- Manage daily administrative tasks, including data entry, filing, and maintaining customer records.
- Coordinate with funeral homes for obituary placement and billing.
- Collaborate with internal teams to ensure advertising orders and subscription changes meet deadlines.
- Utilize Microsoft Office (Teams, Word, Excel, Outlook) to prepare documents, track sales, and communicate effectively.
- Support other departments as needed, ensuring a positive customer and client experience.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- Previous experience in customer service, office administration, or sales is a plus.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- Highly organized with strong attention to detail.
- Ability to multitask and work effectively in a fast-paced environment.
- Demonstrated ability to meet deadlines consistently.
