Job Overview
As the Office Assistant, you will play a vital role in daily operations. You’ll be the first point of contact for guests and callers, and you'll support the coordination of care for our Medicaid clients. This position requires excellent communication, organizational, and multitasking skills. You’ll be working closely with caregivers, clients, and Managed Care Organizations (MCOs). Ensuring that staff are compliant in the cares they provide, assisting employees with training on app and that clients receive the support they need.
Responsibilities
- Greet guests and visitors professionally at the front desk
- Answer and direct phone calls in a courteous and timely manner
- Schedule and adjust caregiver assignments for clients
- Respond to schedule changes, call-offs, or emergencies from caregivers and clients
- Assist with the intake of new clients, including gathering general information and processing contracts
- Communicate with clients and families to ensure proper documentation is received
- Monitor and approve caregiver timesheets for payroll processing
- Share responsibility for the on-call phone on a rotating weekly basis with another staff member
- Maintain accurate records and documentation as required
- Training and assisting employees with the scheduling app on their phone
- Other administrative duties as assigned
Qualifications
- Well-organized and able to multi-task in a dynamic environment.
- Effective communicator with excellent people skills.
- Willing to train, coach, and support caregivers.
- A positive, can-do attitude with a genuine desire to help others.
- Previous experience in a healthcare, home care, or Medicaid-related setting is a plus
- Ability to prioritize tasks and work in a fast-paced environment
- Proficient in basic computer applications (Microsoft Office, scheduling software)
- Reliable, professional, and organized
- Knowledge of Medicaid services is a strong plus
- Must be available to take after-hours calls on a rotating on-call schedule
