We are seeking a dedicated and highly organized High School Secretary to join our educational team. This vital role ensures the smooth operation of school administrative functions, providing essential support to staff, students, parents, and visitors. As the frontline representative of our school, you will manage communication, coordinate schedules, and maintain accurate records to support the school's mission of academic excellence and community engagement.
Responsibilities
- Serve as the primary point of contact at the front desk, greeting visitors and directing inquiries with professionalism and warmth
- Manage multi-line phone systems, handle incoming calls, and route messages efficiently using excellent phone etiquette
- Maintain accurate student records, attendance logs, and administrative files through meticulous filing and data entry
- Coordinate calendar management for school events, meetings, and appointments using Microsoft Office and Google Workspace tools
- Support office management tasks such as supply inventory, document proofreading, and correspondence drafting
- Assist with payroll duties
- Provide customer service support to students, parents, staff, and community members by addressing questions promptly and courteously
Qualifications
- High School graduate (post secondary training preferred) with a mastery of office procedures, equipment and Google Workspace
- Proven ability to build professional relationships with students, staff, and the public through a pleasant demeanor and effective oral and written communication
- Committed to maintaining the confidentiality of sensitive information and adhering to all legal, ethical, and board mandated policies and procedures
- Experienced in accurate data entry, generating reports, updating websites and managing payroll.
- Highly organized with a proven ability to manage office operations, including facility requests, school calendars, maintenance requests, and teacher substitute systems
- Dedicated to supporting administration and staff while maintaining an efficient and orderly school environment
- Maintains a punctual, regular work schedule and is able to complete tasks efficiently while following instructions
