We are seeking a Proposal Writer and Coordinator to support our ongoing proposal and business development activities.
Role Description
This is a full-time, on-site role based in Spring, TX, for a Proposal Writer and Coordinator. The individual in this role will be responsible for managing the proposal development process, including analyzing Requests for Proposals (RFPs), coordinating contributions from cross-functional teams, and ensuring timely submission of high-quality proposals. Key tasks include drafting and editing technical content, organizing materials, and maintaining compliance with proposal requirements while effectively communicating project goals to stakeholders. The ideal candidate is someone who enjoys hands-on writing, convincing storytelling, coordination of multiple inputs, and execution.
Key Responsibilities/Job Duties
- Lead proposal development from opportunity and requirements evaluation through final submission across government and commercial pursuits.
- Review solicitations (RFPs, RFIs, RFQs, BAAs) and support development of proposal outlines, schedules, and compliance matrices.
- Write, organize, and refine technical and management volumes that clearly convey capability,
value, and compliance.
- Collaborate directly with engineering and business development personnel to translate technical content into compelling language.
- Manage proposal schedules, proposal documentation, version control, and compliance tracking to ensure full alignment with solicitation requirements.
- Assist with writing, editing, formatting, and proofreading proposal content.
- Supporting creation of graphics, templates, and other materials.
- Maintain internal proposal calendars and ensure team members meet deadlines.
- Coordinate with company legal personnel as needed to facilitate execution of nondisclosure agreements, teaming agreements, customer memorandums, and letters of support.
- Support the creation of pricing narratives, milestone plans, and budget justifications with client teams.
- Prepare final proposal submissions (digital or hard copy) and ensure compliance with all requirements.
- Participate in debriefs and lessons-learned cycles to strengthen capture strategy and proposal execution.
- Maintain proposal templates, guidelines, and archives to drive repeatable quality across submissions.
Qualifications
- 5 years of proposal writing or proposal coordination experience in aerospace, defense, or other federal government technology programs
- Bachelor’s degree in English, Communications, Business, Technical Writing, or a related field
- Proven experience in Proposal coordination or management and responding to Requests for Proposals (RFPs)
- Familiarity with Federal Acquisition processes (FAR/DFARS) is preferred
- Exceptional writing and editing capability with a clear, concise style, and document‑formatting skills
- Ability to interpret and summarize solicitation requirements
- Effective verbal and written Communication skills to collaborate with internal teams and external stakeholders
- Detail-oriented with the ability to meet tight deadlines and work on multiple projects simultaneously
- Familiarity with working in technical and/or engineering environments is a plus
- Technical education or experience in engineering, physics, or related fields a plus
