Duties
- Assist with leasing activities, including property tours, application processing, and lease signing to maximize occupancy and tenant retention
- Manage tenant communications via phone, email, and in-person interactions, providing exceptional customer service and conflict resolution
- Support rent collection processes, including data entry into property management software such as Yardi or OneSite, and follow-up on overdue accounts
- Maintain accurate records of lease agreements, legal documents, and correspondence in filing systems and digital databases
- Coordinate property maintenance requests with vendors and facilities management teams to ensure timely repairs and upkeep
- Assist with compliance related to Fair Housing regulations, LIHTC (Low-Income Housing Tax Credit), Section 8 programs, and landlord-tenant laws
- Prepare reports on occupancy rates, maintenance issues, and lease expirations to inform management decisions
- Support legal administrative tasks such as reviewing contracts, negotiating lease terms, and ensuring adherence to legal standards
Experience
- Proven experience in property management or real estate administrative roles with a focus on customer service and office administration
- Familiarity with property management software such as Yardi or OneSite is highly preferred
- Knowledge of LIHTC programs, Section 8 housing regulations, Fair Housing laws, and landlord-tenant law is essential
- Experience handling legal documents, contracts, and negotiation processes within a property management context
- Strong background in office procedures including data entry, filing systems (physical and digital), and record keeping
- Demonstrated ability to manage conflict effectively while maintaining professionalism through excellent phone etiquette and customer relationship skills
- Prior experience in facilities management or property maintenance coordination is a plus
- Excellent organizational skills combined with the ability to multitask efficiently in a fast-paced environment
