Position Summary
We are seeking a detail-oriented and proactive Inside Sales Representative to manage the quoting and job creation process for HVAC and plumbing service deficiencies. This role involves coordinating with vendors, internal teams, and customers to ensure accurate proposals, timely communication, and efficient job tracking.
Key Responsibilities
- Review HVAC and plumbing field deficiencies to prevent duplicate unapproved quotes.
- Prepare and prioritize accurate proposals based on severity and customer deadlines.
- Ensure all quote details are complete to support tracking and billing.
- Follow up on all quotes until approval or cancellation.
- Create jobs in Service Trade upon receiving purchase orders, assign correct job status, and initiate parts ordering.
- Track ordered parts, update job status, communicate timelines to customers, and coordinate with dispatch for scheduling.
- Build relationships with vendors to ensure prompt responses and access to specialized parts.
- Upload all supporting job documents to Service Trade.
- Document reasons for deficiencies not requiring quotes and update statuses accordingly.
- Select appropriate service contracts in Service Trade to apply accurate labor and trip charge rates.
- Collaborate with the Inside Sales team to assign work efficiently and escalate opportunities as needed.
- Maintain consistent follow-up on quote statuses and collaborate with team members to ensure all potential service work is pursued.
Qualifications
- High school diploma or equivalent required.
- Experience in inside sales or service coordination, preferably within the HVAC and/or plumbing industry.
- Familiarity with CRM systems and service management software; experience with Service Trade is a plus.
- Strong written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Ability to manage priorities and meet deadlines in a fast-paced environment.
- Collaborative, customer-focused mindset with a proactive problem-solving approach.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
