Position Summary:

The Nursing Home Administrator (NHA) assumes authority, responsibility, and accountability for their facility. The Administrator manages the facility operations within established guidelines and provides effective supervision of staff for all departments. The NHA develops and implements the annual plans for the facility and provides proper management of the financial and/or business affairs of the facility.

Principal Duties and Responsibilities:

  • Develop and Implement the Annual Plans for the Facility
  • Draft an annual operating budget for the Facility.
  • Draft an annual management plan, which outlines operational goals and objectives for the Facility.
  • Upon acceptance by Executive Management, implement the annual plans.
  • Monitor performance in comparison to the annual plans, communicating modifications and/or additions to Executive Management.
  • Develop reports relating to annual plans as required Executive Management.
  • Manage Facility Operations Within Established Guidelines
  • Oversee operation of each Facility department to assure compliance with operating policies and procedures.
  • Oversee the operation of a licensed Nursing Home.
  • Provide for compliance with local, state and federal laws and policies of the Personnel Handbook in all personnel actions.
  • Provide for adequate protection of the assets of the Facility.
  • Provide for and maintain appropriate systems and procedures to administer the Facility.
  • Provide for the maintenance of appropriate records such as personnel and patient records.
  • Provide for and communicate an adequate fire evacuation and Facility safety plan.

  • Periodically review compliance with industry standards and all applicable regulations through quality assurance reviews.
  • Report to Executive Management regarding operational and financial status of the Facility at regularly scheduled meetings.
  • Provide For Proper Management of the Financial and/or Business Affairs of the Facility
  • Establish procedures, which assure the proper protection and control of all cash receipts, petty cash, Facility inventory and equipment.
  • Provide for the accurate and timely payment of all local, state and federal taxes as well as for the timely filing of requisite tax reports.
  • Review and approve the purchase of all goods.
  • Provide for maintenance of a procedure for billings and accounts receivable. Monitor and evaluate the status of accounts payable and receivable, taking appropriate action as needed.
  • Maintain Quality Lifestyle and Health Care for Facility Patients
  • Oversee preparations for regulatory surveys, and maintain standards and procedures, which comply with licensure and accreditation requirements.
  • Take corrective action required as a result of survey findings or as a result of administrative review.
  • Provide for an evaluation of all prospective patients and approve agreements.
  • Provide for adequate staffing and for regular training of staff in areas appropriate to their needs.
  • Maintain open communication among department heads and staff to elicit input about patient needs and to provide feedback about the quality of service provided.
  • Maintain an open door to patients, their families, staff and others to promote communication about likes, dislikes and management of problem situations that may from time-to-time arise.
  • Provide for regular leisure activities to promote quality of life.
  • Provide for the protection of Patient Rights and maintenance of all services offered by the Facility.
  • Provide for appropriate medical, ancillary, and emergency services for patients through contract services and community relations.
  • Provide for Positive Public Relations with the Community, with Officials of Government and with the Patients and Families Establish lines of communication among patients, their families and staff of the Facility.
  • Participate in community service associations, Chamber of Commerce, civic clubs, and professional health care organizations, as appropriate.
  • Provide for advertising and support of appropriate public service activities.
  • Establish, at a minimum, a cooperative working relationship with state health officials, local government officials and other as appropriate.
  • Arrange publicity for charitable groups and organizations providing the Facility with services and/or goods.
  • Make media aware of special events occurring at the Facility and establish working relationship with local media representatives.
  • Establish a cooperative working relationship with all local hospitals, clinics, and other health care providers as well as the local medical community.
  • Cooperate with local educational institutions by providing clinical setting for students, if feasible.
  • Provide for Effective Supervision of Staff for all Departments
  • Interview, select and hire department heads and other administrative staff appropriate to the needs of the Facility. Assure appropriate employment records are completed.
  • Provide orientation for Department Heads and other administrative staff and assure training records are completed.
  • Provide ongoing in-service education programs for department heads and administrative staff.
  • Acts as the Corporate Compliance Liaison for their assigned building, communicating with the Corporate Compliance Officer routinely regarding legal, civil, ethical, regulatory, and other matters as appropriate.
  • Collaborates with the Corporate Compliance Officer to ensure an effective program is in place which may include identifying, detecting, and responding to allegations of compliance violations.
  • Provide support for and supervision to key supervisors and Department Heads in the management of personnel under their direction.
  • Monitor documentation of employee performance and disciplinary actions performed by the Department Heads.
  • Provide a means for and participate in the resolution of employee grievances.
  • Maintain own professional requirements for continuing education and staff development by participating in work related seminars, etc.
  • Provide for the Development, Evaluation, Revision and Consistent Application of Administrative, Patient Services, and Personnel Policies and Procedures
  • Become thoroughly familiar with and periodically review written policies and operational practices, which relate to the administration of personnel and employee benefits.
  • Participate in the development and review of patient services policies.
  • Periodically evaluate administrative and departmental operational policies and procedures in order to establish and maintain current management and industry standards.
  • Become familiar with changes in the body of State and Federal laws, which impact Facility policies concerning licensure, food service and personnel.
  • Recommend modifications to existing policy securing concurrence of Executive Management and other persons as appropriate. Enter into Contractual Agreements with Patients and Service Providers on Behalf of the Facility
  • Patient admission agreements
  • Transfer agreements and service provider contracts
  • Purchase agreements
  • Consultant agreements
  • Other agreements as directed by Executive Management
  • Monitor compliance with agreements including the review of service reports and consultant logs
  • Participate Within Various Committees
  • Assure that all required committees meet and function according to policy and procedural guidelines
  • Conduct Department Head meetings
  • Member of Quality Assurance Committee
  • Attend Patient Service Conferences as appropriate
  • Conduct all employee meetings as appropriate
  • Attends other Meetings as required
  • Designate a Responsible Individual to Serve as Acting Administrator During Periods of Absence
  • Designate the Director of Nursing to fulfill duties in case of absence and inform designee of responsibilities.
  • Provide staff with on-call schedule for evenings, weekends, and holidays
  • Perform Related Tasks as Required


Required/Desired Qualifications:

Education, Training, and Experience:

  • Bachelor's Degree from an accredited college or university in health care or business administration or related field or previous experience in supervising a long-term care Facility.
  • Must meet state requirements for and be licensed as a Nursing Home Administrator in the State of Michigan.


Specific skills, knowledge, and abilities:

  • Knowledge of all phases of the operation of a licensed health care Facility including housekeeping, activities, dietary, maintenance and nursing.
  • Knowledge of the principles of management and supervision as well as the principles of budgeting and accounting.
  • Working knowledge of rules and regulations for maintaining licensure for a comprehensive nursing Facility in the state of Michigan and Medicaid and Medicare regulations.
  • Some knowledge of marketing and labor/management relations.
  • Ability to communicate effectively, to analyze problems and identify practical solutions.
  • Ability to lead and motivate other employees.
  • Must be of sound moral character and possess an understanding of the needs of the aging population and end of life issues.
  • Display a positive professional image and enhance positive


Other Special Requirements:

  • Must be able to work overtime. Must be available on an “on-call” basis. May be summoned to the facility in an emergency and is expected to report to the facility in an emergency.
  • Manual dexterity required to operate modern office equipment.
  • Ability to travel as needed or assigned.
