Position Summary
As an Administrative Assistant to the Office Manager & Service Manager, you will play a vital role in keeping daily office operations running smoothly. You will manage administrative tasks, coordinate technician schedules, communicate with customers, and assist with purchasing and inventory. The ideal candidate is detail-oriented, dependable, and thrives in a team environment.
Responsibilities
- Answer incoming phone calls, respond to emails, and handle office correspondence professionally.
- Maintain and organize electronic and paper filing systems.
- Schedule appointments, meetings, and service calls for HVAC technicians.
- Coordinate daily job assignments and communicate scheduling updates.
- Provide exceptional customer service by responding to inquiries and scheduling service appointments.
- Address customer concerns and work toward timely, effective resolutions.
- Manage relationships with vendors and suppliers to ensure timely procurement of HVAC equipment and materials.
- Generate and process purchase orders.
- Monitor and maintain inventory levels of HVAC equipment, parts, and office supplies.
- Coordinate with technicians to ensure materials are available for scheduled jobs.
- Perform general office and administrative duties as assigned.
Qualifications
- Previous administrative or office experience required; HVAC, construction, or service industry experience preferred.
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills.
- Outstanding customer service and interpersonal skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and other office software.
- Ability to multitask, prioritize responsibilities, and work independently.
- High attention to detail and accuracy.
- High school diploma or equivalent required.
