We are currently seeking a highly organized, detail-oriented, and personable Medical Scheduler to join our growing team. This role is essential in ensuring seamless coordination between patients, physicians, technologists, and insurance providers.
Position Overview
The Medical Scheduler serves as the first point of contact for many of our patients. This individual will be responsible for coordinating sleep studies, verifying insurance coverage, obtaining prior authorizations when required, and ensuring all necessary documentation is complete prior to scheduled appointments. The ideal candidate thrives in a fast-paced medical environment, demonstrates excellent communication skills, and maintains accuracy under pressure.
Key Responsibilities
Scheduling & Patient Coordination
- Schedule in-lab sleep studies, home sleep tests, CPAP titrations, MSLT/MWT, and follow-up appointments
- Coordinate patient appointments based on physician orders and clinical protocols
- Confirm appointments and provide clear pre-study instructions to patients
- Reschedule appointments as necessary and manage cancellations efficiently
- Maintain organized scheduling calendars to optimize lab utilization and workflow
Administrative & Documentation Duties
- Accurately enter patient demographics and insurance information into EMR system
- Maintain confidentiality and compliance with HIPAA regulations
- Scan and upload referrals, physician notes, and diagnostic documentation
- Ensure all patient charts are complete and prepared prior to service date
- Respond to incoming calls in a professional and courteous manner
Communication & Team Collaboration
- Serve as liaison between referring physicians, patients, and internal staff
- Communicate effectively with sleep technologists and clinical team
- Provide exceptional customer service to patients experiencing sleep-related health concerns
- Address patient questions regarding preparation for sleep studies
Qualifications
Required:
- Minimum 2 years of medical scheduling experience (sleep medicine experience preferred)
- Strong knowledge of medical terminology
- Proficiency with EMR systems and Microsoft Office
- Excellent verbal and written communication skills
- High attention to detail and strong organizational skills
- Ability to multitask in a fast-paced healthcare environment
Preferred:
- Experience in sleep medicine, pulmonology, cardiology, or related specialty
- Familiarity with CPT/ICD-10 codes
- Prior experience working with commercial insurance plans and Medicare
