JOB TITLE: Interpreting & Translation Assistant

WORKING HOURS: Full-Time / Mon-Fri / Day Shift / On-Site

JOB SUMMARY:

The Interpreting & Translation (I&T) Assistant provides administrative and operational support to the I&T Department by processing requests for interpreting and translation services, scheduling contractors, maintaining records, communicating with customers, preparing reports, and assisting with daily departmental operations. This position serves as a primary point of contact for customers and contractors and shall possess a general understanding of various languages while ensuring timely, accurate, and professional service delivery.

REQUIRED QUALIFICATIONS:

  • Minimum of Associate’s degree in business, communications, office administration, social work, human services, or a related field, or equivalent combination of education and relevant experience
  • Previous experience in a customer service or hospitality role desired; working with multilingual immigrant and/or refugee populations in a community-based setting a plus
  • Demonstrated ability to manage multiple competing priorities in a fast-paced customer service environment
  • Exceptional customer service, interpersonal, and English communication skills – both verbal and written
  • Developed prioritization and organization skills with accuracy, attention to detail, and follow-through
  • Demonstrated ability to maintain confidentiality and display professional acumen
  • High level of cultural competency, empathy, and adaptability
  • Multilingual or bilingual abilities a plus
  • Proficiency with Microsoft Office and the ability to learn and utilize other technology platforms such as Computer-Assisted Translation (CAT) tools, translation management systems; previous experience using Boostlingo scheduling platform a plus
  • Willingness and adaptability working with diverse cultures of underserved and underrepresented communities
  • Ability to work in a team environment focused on the organization’s mission
  • Authorized to work in the U.S.

ESSENTIAL FUNCTIONS:

  • Delivers courteous, responsive, and culturally sensitive customer service to internal and external customers
  • Receives, reviews, and accurately processes a high volume of interpreting and translation service requests
  • Swiftly and accurately inputs foreign language interpreter information and data into Interpreter Scheduling System
  • Reviews filled and unfilled requests; communicates with customers and interpreters timely and professionally
  • Responds to interpreter requests and coordinates delivery of services
  • Troubleshoots and proactively problem-solves issues as they arise; escalates to management as necessary
  • Supports the intake of translation projects by interfacing with clients, generating quotes, assigning projects, document formatting and delivery
  • Responds to e-mails, phone calls, and walk-in inquiries in a timely matter in accordance with agency expectations and protocols
  • Assists the department with various daily functions such as: Scheduling interpreters and translators, Documenting translation intake, Performing data entry and record maintenance, Preparing reports and department metrics
  • Maintains accurate and confidential customer, interpreter, translator, and project information within departmental databases and scheduling software
  • May assist with recruitment and onboarding of independent contractor interpreters and translators
  • If qualified, assists with internal interpreting or translation for clients or colleagues as needed and as workload dictates
  • Supports the organization’s mission and values, promotes a positive culture and remains actively engaged
  • Other duties as assigned by a member of management within the job scope

WORK ENVIRONMENT:

Office environment requires employees, with or without accommodation, to consistently use manual dexterity in reaching, writing, navigating around the workspace. This position requires fully functional vision and auditory abilities. This position may include hours standing and walking, including up and down stairs, and moving basic office items of up to 30 pounds.
