Overview:
We are seeking a professional and highly organized Receptionist/Admin Assistant to support daily office operations and administrative functions at IGI USA. In this role, you will serve as the first point of contact for clients, visitors, and staff while providing direct administrative support to leadership. This position plays a key role in ensuring a welcoming environment, smooth office operations, and efficient executive scheduling.
Front Desk & Client Services
- Greet and welcome clients, visitors, and guests and direct them to the appropriate department or personnel
- Answer, screen, and route incoming calls; take messages and provide information to callers
Administrative Support
- Manage and maintain executives' schedules, appointments, and travel arrangements (rare but role should evolve here)
- Assist with preparation of reports, presentations, and other documents
- Coordinate meetings, conferences, and internal events, which includes ordering arrangements and planning as needed
- Perform general administrative duties including filing, data entry, and record maintenance
- Perform other duties as assigned by management
Requirements
- High school diploma or equivalent; associate or bachelor's degree preferred
- Proven experience as a receptionist, administrative assistant, or executive assistant a plus
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Proficient in Microsoft Office and other office software applications
- Ability to multitask and prioritize effectively
- Professional, courteous demeanor with ability to maintain confidentiality
Preferred Qualifications
- Experience supporting C-suite or senior leadership
- Exposure to multi-entity or fast-paced corporate environments
