Position Summary

The Government Affairs Coordinator provides essential administrative, scheduling, and logistical support to the Government Relations (GR) team. This role ensures smooth day-to-day operations, supports internal and external meetings, and assists with special projects such as The Washington Conference. The coordinator works closely with the CGPO and Vice Presidents of GR, liaises with internal departments, and helps maintain efficient systems and communications across the team. The coordinator reports directly to the CGPO, works as part of a team in Government Relations, and collaborates across departments, including Membership, Science and Technology, Communications, among others, as well as contractors and vendors, and other duties as assigned.

Position Responsibilities

Administrative Support (30%)

  • Provide proactive administrative support to the CGPO and Vice Presidents Government Relations.
  • Manage task assignments and updates using Salesforce and Wrike platforms.
  • Draft and format letters, maintain digital filing systems, and track follow-up actions from meetings (with AI tool support).
  • Coordinate department-wide invoices submissions.
  • Contribute to the development of policy-related documents as needed.
  • Assist with the coordination and tracking of the annual business planning process.
  • Support the execution and cross-functional alignment of the strategic plan and its key objectives.



Scheduling & Coordination (25%)

  • Manage calendars and schedule internal and external meetings for the CGPO and VPs.
  • Coordinate agendas and materials for the U.S. Country Council and related committees.
  • Track RSVPs and maintain current rosters for recurring meetings and special events.



In-Office & Onsite Support (40%)

  • Provide administrative and logistical support for in-office meetings involving the Government Relations team and external stakeholders.
  • Coordinate logistics with front desk and security for visitor access and event entry.
  • Support coordination and logistics for occasional special events and convenings. Arrange catering and prepare food and beverage setup and tear down as required.
  • Collaborate with other departments to avoid conflicts and ensure scheduling alignment.



Special Projects (5%)

  • Serve as a key support lead for The Washington Conference (TWC), including preparation and onsite coordination.

Miscellaneous Position Information

Knowledge, Skills & Abilities

  1. Bachelors Degree or equivalent work experience.
  2. Proven experience in administrative support and project coordination.
  3. Proficiency with Microsoft Office Suite; experience with Salesforce, Wrike, and AI productivity tools a plus.
  4. Must be able to work independently, as well as, in a team setting, be flexible and meet deadlines.
  5. Strong organizational, interpersonal, and communication skills.
  6. Strong attention to detail and the ability to manage multiple priorities.
  7. Experience supporting executive-level leaders and working cross functionally with internal teams and external stakeholders.

Travel

Business-related travel requires a minimum of 5 times per year.

Work Environment & Location Requirement

This position is primarily remote but requires the candidate to be based in the Washington, D.C. metropolitan area. Occasional in-office support is expected for meetings, events, and special projects, including The Washington Conference. Candidates must be available to commute to the D.C. office as needed.
