Business Development Coordinator
Department: Growth Unit
Reports To: Business Development Manager
Location: Wheaton, IL (Hybrid – 2 days in office)
Position Summary
The Business Development Coordinator supports the International Carwash Association’s (ICA) top-line growth by driving qualified leads, nurturing relationships, and supporting the sales pipeline across ICA’s events, subscription and training products. This position plays a key role in prospect engagement, managing HubSpot workflows, and maintaining accurate and timely data to enable higher-level sales managers to focus on strategic opportunities and revenue expansion.
Key Responsibilities
- Pipeline and Lead Management
o Manage inbound and outbound leads within HubSpot, ensuring data accuracy and progression through the sales funnel.
o Qualify leads through email, phone, and digital outreach, assessing needs and readiness for engagement by Business Development Managers.
o Create and execute HubSpot sequences and workflows to nurture prospects and re-engage past customers.
o Monitor lead activity, report on engagement trends, and provide recommendations for optimization.
- Sales and Revenue Support
o Partner with the Business Development Manager to advance prospects through the sales cycle, including proposal support and tracking deliverables.
o Support ICA’s media, advertising, and event sponsorship sales by preparing materials, coordinating client communication, and maintaining accurate contract and inventory records.
o Conduct research on potential customers, markets, and industry trends to identify new business opportunities.
o Assist in tracking and reporting on team sales performance, revenue progress, and lead conversion metrics.
- CRM and Administrative Operations
o Maintain the integrity of HubSpot data, ensuring accurate tagging, deal stages, and contact information.
o Support system automations and contribute to improving CRM processes and reporting tools.
o Coordinate with the marketing team to ensure lead-generation campaigns align with current business development priorities.
o Provide general administrative and operational support for the Growth Unit.

Qualifications
- Bachelor’s degree in business, Marketing, Communications, or related field.
- 2-4 years of experience in sales support, business development, or marketing coordination (association or B2B preferred).
- Proficiency in HubSpot, including the use of sequences, workflows, and reporting tools.
- Excellent written and verbal communication skills with strong attention to detail.
- Strong organizational, analytical, and time management abilities.
- Proven ability to establish and maintain relationships.
- Self-starter with a proactive approach to problem-solving and learning.
- Occasional domestic travel (<5%).
- Position requires work on the computer in a seated and/or standing position.
Work Environment
- Hybrid work model with in-office presence in Wheaton, IL.
- Occasional travel required.
