Salary: Competitive and commensurate with experience We will appoint within our current US salary range for this role of $47,750 to $50,000.

Location: Hybrid (3 days weekly required in the IBPs office in Washington, DC, US)

Today, IBP is a globally dispersed organization with staff based in multiple countries, and in-depth country work in Nigeria, Senegal, South Africa and Indonesia. We promote locally led systems change whilst remaining globally connected. IBP is a US registered 501 c3 with a branch office in Senegal and affiliates in the Netherlands, in South Africa and soon in Nigeria, and a total budget of approx. USD 15 million per year.
About this role
The International Budget Partnership (IBP) is looking to appoint a Finance and Operations Assistant to join our globally dispersed Finance and Operations team. This is a vital role supporting both our financial and administrative functions across IBP.
The Finance and Operations Assistant will be responsible for processing accounts payable and supporting regular financial transactions, while also playing a key role in office management, event and travel coordination, and executive assistance.The role requires a detail-oriented, highly organized individual who is comfortable working across multiple administrative and operational tasks. The Assistant will report to the Finance and Payroll Officer and collaborate closely with the wider Finance and Operations team and other program staff.

Role responsibilities
Account payable and payroll administration (85%)
- Processes invoices from different programs with activities around the world in IBPs different approval systems for review and approval. Update vendor information (US and non-US vendors) in the systems as needed.
- Prepares biweekly invoices payments for review and approval by the authorized signatories
- Tracks and handles wire returns with the bank and the IBP team to ensure timely and accurate corrective actions and accounting recording.
- Prepare IBP US monthly payroll in Bamboo HR, prepares associated benefits submissions (retirement monthly contributions, TASC, etc) and related journal entries in the accounting system.
- Prepares various standard monthly journal entries to support the month-end closing.
- Collaborates closely with the other finance colleagues and the broader Finance and Operations Team to meet operational needs efficiently and proactively.
Operations and Administrative Support (15%)
- Office Management: Ensures the smooth daily operation of the DC office, including inventory and procurement of office supplies, mail review and redirects, coordination with landlord, and general upkeep of the working environment.
- Executive Assistance Support: Provides administrative support to IBP's Executive Director, including possible calendar management, meeting coordination, documentation support, and follow-up on tasks and deadlines.
- Travel and Event Assistance: Occasionally support IBPs Senior Events Officer with travel logistics for staff and visitors, including booking flights, accommodation, and ground transportation. Supports and serves as a back-up for the logistics of meetings, workshops, and events, both in-person and virtual.
- This role may also take on a small set of IT-related tasks after few months to support the current IBP staff in charge of IT.
- Upholds organizational protocols for administrative and logistical functions.
- Participates in cross-team collaboration, including Finance and Operations team meetings and IBP-wide retreats or trainings.

Core competencies
Finance and Accounting Knowledge/Skills
- Knowledge of accounts payable and payroll accounting principles.
- Proven ability to manage accounts payable transactions, cash disbursements in multiple currencies
- Experience with payroll-related tasks.
- Experience working in a paperless environment (in cloud based integrated solutions / systems)
- High proficiency with Microsoft Office applications, especially Excel; experience with accounting software required, preferably Sage Intacct.
- Familiarity with balance sheet reconciliations, and preparation for audits and compliance filings is a plus.
Operations and Administrative Support Skills
- Demonstrated ability to coordinate logistics for meetings, workshops, and travel across international and domestic contexts.
- Familiarity with managing office operations.
- Strong organizational skills with the ability to manage multiple administrative responsibilities simultaneously.
Organisation and Attention to Detail
- Works with a high degree of accuracy and is extremely detail oriented.
- Strong ability to plan, prioritize, and meet multiple deadlines across both finance and operations tasks.
