Summary/Objective:
The Assistant must execute job duties with a focus on projecting a professional and competent image. Providing friendly and outgoing customer service is essential, along with maintaining timeliness and a professional appearance. This role is critical to the administrative and operational functions of the company/property and requires strong organizational skills, mindfulness, solid time management, and excellent interpersonal skills.
Key Responsibilities:
- Assist in the daily operations of the management office and perform administrative duties according to company/property procedures.
- Handle administrative tasks such as record keeping, filing, mail collection/distribution, word processing, data entry, and office supply management.
- Maintain and update account information in the computer database.
- Investigate any discrepancies in owner payments for Manager.
- Track and coordinate important dates and meetings (annual, budget, special…).
- Answer phone calls and handle messages courteously and promptly.
- Respond to emails in a timely manner.
- Collect and manage daily mail (FedEx, UPS, USPS).
- Manage architectural approvals, maintenance requests, and sale/lease information.
- Coordinate conference room reservations and events.
- Complete special projects as assigned.
Work Environment:
Professional office setting with standard office equipment.
Physical Demands:
Regularly required to talk, hear, stand, walk, use hands, and reach with arms.
Position Type/Expected Hours of Work:
Full-time, Monday through Friday. Hours determined by the Board of Directors.
Travel:
Some local travel for training and meetings.
Required Education and Experience:
- Three years of experience in the same or related position.
- Working knowledge of computer and associated programs; MS Office Suite.
- Ability to multi-task, set, and manage priorities.
- Excellent communication and listening skills.
- Data entry ability.
- Must function in team-organized environment.
- BA/BS degree preferred.
- Valid FL Driver’s license.
- Flexibility in work hours, including nights and weekends.
- Ability to manage emergency situations promptly.
- Bi-lingual in English and Spanish is a plus.
