Position Overview
The Scheduling Coordinator works independently with healthcare facilities and staffing personnel to support day-to-day office operations. This role is responsible for managing a caseload of scheduling qualified Certified Nursing Assistants (CNAs) to meet client needs while ensuring continuity of care.
Key Responsibilities
- Maintain professional relationships with field staff and office team members to foster a collaborative environment
- Schedule available field staff daily to maximize fulfillment of client-requested hours
- Coordinate staffing needs with the Coordinating Manager and office team
- Respond to and report client concerns, complaints, and staffing emergencies
- Manage assigned caseload during office hours and participate in on-call rotations
- Utilize scheduling systems (including MatrixCare) effectively
- Ensure compliance with all federal, state, and local regulations and company policies
- Assist with payroll and billing processes as needed
- Communicate schedule changes to staff, clients, vendors, and internal departments
- Conduct monthly client visits to ensure satisfaction and quality care
- Maintain accurate and timely documentation in internal systems
- Stay current on healthcare staffing regulations
- Promote teamwork, high morale, and a positive work environment
- Assist in recruitment strategy development
- Provide detailed documentation for after-hours/on-call activities
- Follow established pay and billing structures and obtain approvals when required
- Complete additional duties as assigned
Education & Experience:
- Associate degree or equivalent work experience
- Minimum of 3 years of staffing or scheduling experience (healthcare preferred)
Skills & Abilities:
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Ability to adapt to changing priorities
- Proficiency in Microsoft Windows, Word, and Excel
- Ability to work independently and collaboratively
Work Environment
- Office-based, sedentary work environment
- Occasional lifting (up to 10 lbs)
- May require occasional travel to client locations
Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
