Position Summary
The Medical Office Front Desk Receptionist serves as the first point of contact for patients, providing exceptional customer service while ensuring the efficient operation of the front office. This position is responsible for greeting patients, scheduling appointments, verifying insurance information, collecting payments, and maintaining accurate patient records while ensuring compliance with HIPAA regulations.
Essential Duties and Responsibilities
- Greet patients and visitors in a friendly, professional, and courteous manner.
- Answer and direct incoming phone calls promptly and professionally.
- Schedule, reschedule, and confirm patient appointments.
- Check patients in and out for appointments.
- Verify demographic and insurance information and update records as needed.
- Obtain copies of insurance cards, identification, and required paperwork.
- Collect co-pays, deductibles, outstanding balances, and provide receipts.
- Maintain patient confidentiality in accordance with HIPAA regulations.
- Scan and upload patient documents into the electronic medical record (EMR).
- Process referrals and assist with obtaining prior authorizations when appropriate.
- Monitor appointment schedules and communicate delays to patients.
- Respond to patient questions or direct concerns to the appropriate staff member.
- Receive and distribute faxes, mail, and other correspondence.
- Maintain a clean, organized, and welcoming reception area.
- Assist with other administrative duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Previous medical office or healthcare customer service experience preferred.
- Knowledge of medical terminology is preferred.
- Experience using Electronic Medical Records (EMR) systems preferred.
- Proficiency with Microsoft Office and basic computer applications.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to work independently and as part of a team.
- Professional appearance and positive attitude.
- Bilingual Spanish/English preferred but not required
