We're looking for a dedicated and detail-oriented Part-Time Accounting Assistant with experience in Receivables to join our dynamic Accounting department.
The Opportunity
As a Part-Time Accounting Assistant / Receivables, you will be a vital part of our team, providing essential administrative and financial support for the Accounts Receivable function while working alongside the Finance Order Coordinator. You will be responsible for handling collections, customer payment processing in QuickBooks, and order data entry between Salesforce and Billstream in a fast-paced, dynamic setting. Your ability to multitask, prioritize with minimal supervision, and exercise mature judgment will be essential to your success.
What You'll Do
- Collections & Correspondence: Monitor and respond to customer email correspondence regarding billing, invoices, and account inquiries. Send past-due statements through QuickBooks and follow up on collections via phone, escalating complex issues to the Accounting Manager.
- Payment & Order Processing: Process customer payments accurately within QuickBooks. Process customer purchase orders and handle data entry from Salesforce into Billstream, auditing customer billing for accuracy.
- Billing & Compliance Support: Participate in month-end reviews of all customer billing. Assist the Controller with weekly compliance reports and correspondence.
- Clerical & Office Operations: Perform general clerical duties including word processing, data entry, photocopying, collating, filing invoices, and processing incoming weekly mail.
- Equipment Operation: Efficiently operate standard office equipment to complete daily tasks, including the RingCentral phone system, calculator, and computer/printer.
- Special Projects: Undertake special projects and other related duties as assigned or requested to help accomplish team goals.

Qualifications
- Minimum Education/Experience: One to two years of relevant experience in accounting, bookkeeping, or accounts receivable, or an equivalent combination of education and experience. A High School Diploma or equivalent is required.
- Preferred Education/Experience: An Associate’s Degree in Accounting, Finance, or a related field is preferred. Previous experience or exposure to Accounts Receivable, collection workflows, or general accounting support is helpful.
- Technical Skills: To perform this job successfully, an individual should have hands-on experience or familiarity with QuickBooks, Salesforce, and related billing systems. Proficiency in Microsoft Office Suite (particularly Excel) and knowledge of general office operations and equipment are required.

Physical Demands
This is an on-site position. The role requires the ability to sit for extended periods, use hands to finger, handle, or feel, and talk or hear. The employee will occasionally need to lift and/or move up to 25 pounds. The employee must be able to climb a set of stairs to access the office.
