Job Description
We are seeking an Executive Assistant to work in concert with the executive office team which supports our Founder/CEO. The ideal candidate will have experience in progressively responsible administrative roles and the desire to work within a team. This role requires the ability to prioritize and execute on a high volume of scheduling requests and travel logistics information while maintaining flexibility with frequently shifting plans. Demonstrated C-level writing and verbal communication skills, poise, confidence and the ability to interface with all stakeholders in a professional manner are essential. This position reports to the Sr. Manager, Executive Office and works alongside two other Executive Assistants.
Responsibilities:
- Support the business and personal activities of the Founder/CEO, working collaboratively with members of the executive office team
- Manage Founder/CEO’s schedule, appropriately balancing priorities across business and personal activities. Stay informed of priorities to manage competing demands on time
- Communicate and work cooperatively with EAs of internal and external executive offices
- Assist with planning and coordination of private and commercial, domestic and international travel for Founder/CEO, family members, and members of internal teams traveling with CEO
- Support travel in real time by managing changes throughout trips and/or being available to respond to questions as necessary. At times, this may require availability outside of normal business hours
- Other duties as assigned
Key Qualifications and Required Skills:
- 5-8 years executive level administrative experience in a fast-paced environment
- Bachelor’s degree or equivalent business experience
- Advanced proficiency in MS Office, particularly Outlook, Word, and Excel required. Knowledge of MS Teams and SharePoint a plus
- Strong interpersonal, written and verbal communication skills
- High level of attention to detail and accuracy
- Able to manage frequent changes with a sense of urgency and an attitude of flexibility
- Ability to set priorities, meet deadlines, capture and organize information accurately, in a high-volume, fluid environment
- Sound professional judgement and discretion
- Collaborative orientation and enjoys working within a team
- Ability to work and make decisions independently, balanced with the ability to accept direction from manager and/or CEO
