About the Role: We are seeking a friendly, organized, and professional Administrative Assistant (Receptionist) to be the welcoming face of our office. As the first point of contact for visitors and callers, you will play a key role in creating a positive and efficient experience. This position is ideal for someone who thrives in a fast-paced environment and enjoys helping others. Primary Responsibilities First point of contact in the office and on the phone for our customers; therefore, applicants should possess poise, grace, and know applicable business etiquette including workplace professionalism, communication, and meeting etiquette. Receives and sorts all for the mail room. Coordinates and schedules office repairs and maintenance with 3rd party vendors. Answers and transfers all calls professionally. Orders, stocks and maintains all office supplies, including break room supplies. Creates new hires and guest badges for building entry. Completes any additional projects, processing or tasks assigned by Contract & Licensing Lead or any other member of management. Required Competencies 1 years of Administrative, Customer Service or Receptionist experience. Customer Service: Responds promptly to customer needs. Responds to requests for service and assistance. Interpersonal Skills: Conveys a friendly, positive attitude while always maintaining professionalism, and maintains confidentiality. Oral Communication-Listens and get clarification. Responds well to questions. Organizational Support: Follows policies and procedures. Completes administrative tasks correctly and on time. Supports organization’s goals and values. Adaptability-Able to deal with frequent change, delays, deadlines or unexpected events. Attendance/Punctuality: Is consistent at work and on time. Ensure work responsibilities are covered when absent. Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in person, over the phone and in writing. Reasoning Ability: Ability to apply common sense understanding to carry out written or oral instructions. Computer Skills-To perform this job successfully, an individual should have basic computer navigation skills and knowledge of Microsoft Office Suite. Physical Demands-While performing the duties of this job, the employee is regularly required to sit, reach with hands and arms, and to talk and hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision.
