Front Office Assistant
Zelienople, PA
Monday to Friday – 6:00 am to 5:00 pm or later
$14.00 / hour to start

GENERAL OFFICE
- Proficient in all aspects of FOA-(1) job description as listed below:
- Scan documents into client file
- Keep Communications up to date with co-workers through software bell.
- Balance and Count Cash Drawer
- Enter in Pet Exec daycare/boarding reports, New Dog Assessments, and Incident Report notes.
- Prepare and verify all future services are correct and required documentation is current.
- Communicate with care team members through the Walkie Talkie with proper etiquette.
- Keep reception and work area clean and neat of dust and debris, including following daily checklists.
- Maintain confidentiality as it relates to customers information, MDCC policies, procedures, personal and employee relations.
- Communicate with FOS and/or BOA regarding any personnel related matters including staff not following company policies and procedures, inappropriate behavior or work habits and other issues that are not appropriate in the workplace.
- Notify FOS when office supplies are needed before they run out and when cash drawer needs change.
- Communicate with co-workers and uphold a cohesive environment.
- Attend employee training when required.
- Attend mandatory company meetings.
- Other duties and special projects as designated by manager.
CUSTOMER SERVICE
- Answer phones, assist clients with scheduling, checking in/out of services and process orders with accuracy; inform and offer clients additional services, policy and MDCC procedures.
- Check and respond to voice messages, emails, and texts.
- Set and confirm appointments.
- Verify pet and owner information, contracts, pet/owner notes, required vaccines and instructions are current, accurate and documented per company policies.
- Create and email report cards.
- Offer additional services to all clients and inform clients of amenities available.
- Obtain updated vaccine and fecal reports for scheduled services.
- Provide clients verbally with daily activity report.
- Keep clients informed on daycare package status.
RECORDKEEPING
- Enter Notes and pertinent documentation in Pet Exec Software System
- Check customers in and out for all services; follow and complete Daily Check Lists
- Verify customers charges and services are accurate and correct.
- Verify all needed Contracts are signed, scanned, uploaded, and entered Pet Exec. This includes but is not limited to the master contract, enrichment & grooming contracts.
- Print Daily Report at closing, prepare daily deposit and balance cash drawer.
OPENING/CLOSING DUTIES
- Punch in/out for work and lunch breaks
- Complete all items on opening and closing checklist including but not limited to verifying main entrance door is locked, lights are turned off, cordless phone and walkie are set in charger.
- Complete additional tasks and duties as requested by management.
