JOB DESCRIPTION: Office Manager
REPORTS TO: Operations Manager
OBJECTIVE:
The Office Manager is responsible for overseeing and supporting administrative operations within the pharmacy to ensure a smooth, efficient, and organized workplace. This role serves as the primary liaison between staff and management, promoting timely communication and resolution of team needs. The Office Manager also plays a key role in maintaining compliance and supporting the execution of internal systems and processes.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Cultivate professional, courteous, and supportive relationships with all staff members
- Act as a liaison between departments and the Operations Manager to ensure smooth communication and follow-up
- Maintain a thorough understanding of departmental workflows, policies, and procedures, and act as a knowledgeable resource for team members
- Communicate questions, concerns, and requests from staff to management as appropriate
- Support onboarding processes for new hires, including documentation and orientation tasks
- Assist pharmacists and leadership with project-based work and documentation needs
- Ensure appropriate team coverage by monitoring absences and communicating changes to affected departments
- Maintain employee records, including compliance documentation and training records
- Assist employees in resolving equipment issues (e.g., computer problems, heat press malfunctions) by coordinating with appropriate support vendors
- Problem-solve prescription-related issues in coordination with the Data Entry Technician team
- Create and implement internal systems and workflows to improve efficiency and accountability
- Provide overflow support in all technician areas as needed
- Monitor staff morale and stress levels and escalate concerns or provide support as needed

WORK EXPERIENCE REQUIREMENTS:
Minimum 2 years of supervisory or administrative leadership experience in a pharmacy or healthcare environment, preferably in long-term care or a related setting
EDUCATION REQUIREMENTS:
AA or AS required
Bachelor’s degree preferred
PHYSICAL/WORK ENVIRONMENT REQUIREMENTS:
Prolonged periods working at a desk or computer
Occasional movement between departments must be able to navigate typical pharmacy workspaces
May require light lifting (up to 25 lbs.) on occasion
JOB CLASSIFICATION:
Full-Time, Exempt
TYPICAL SCHEDULE:
Monday–Friday, 9:00 AM to 5:30 PM
Occasional after-hours availability may be required
