What are the responsibilities and job description for the Meetings & Events Manager position at Integrated Media Services?
Meetings & Events Manager – DOCS Sedation
DOCS Sedation is scaling its national education programs, and we’re looking for a Meetings & Events Manager who can operationalize excellence. This role is the engine behind our live courses—owning logistics, faculty coordination, CE compliance, vendor management, and on-site delivery. If you thrive in a fast-paced, detail-heavy environment and know how to keep complex programs moving, this is the role.
End-to-End Event Execution
You’ll run national and regional sedation courses from planning through post-event closeout—venues, room blocks, A/V, catering, signage, registration, materials, and on-site coordination. You’ll standardize operations so every program looks and feels consistent.
Faculty & Stakeholder Support
Serve as the primary liaison for DOCS faculty. Coordinate travel, accommodations, communications, and on-site needs. Maintain strong working relationships with venues, vendors, and partners to keep execution tight.
CE & Regulatory Compliance
Ensure all courses align with AGD PACE and internal CE requirements. Oversee documentation, evaluations, certificates, and post-course reporting.
Cross-Functional Coordination
Partner with Marketing, Finance, Content, Customer Support, and internal leadership to keep timelines aligned, materials accurate, and attendance strong. You’ll be the operational hub that keeps all moving parts connected.
Systems, SOPs & Quality Control
Build and maintain templates, checklists, SOPs, and workflows to scale our programs. Track performance metrics, attendee feedback, and operational KPIs to inform continuous improvement.
What You'll Own
• Flawless, predictable on-site experiences
• High faculty, attendee, and partner satisfaction
• Strong attendance through coordinated marketing
• Zero CE compliance issues
• Clean operations: standardized processes, smooth execution, no surprises
• Solid fiscal discipline across vendor contracts and budgets
What You Bring
• 3–5 years of meetings, events, or conference management experience
• Experience running multi-day, multi-stakeholder events with heavy logistics
• Strong vendor negotiation and venue management skills
• High operational rigor—checklists, SOPs, timelines, documentation
• Ability to anticipate needs, solve problems in real time, and keep teams aligned
• CE or medical/dental event experience is a plus
• Willingness to travel regularly within the U.S.
Why DOCS
You’ll step into a high-impact role with real ownership, a tight-knit team, and programs that genuinely improve clinical outcomes and patient safety. The work is meaningful, fast-moving, and central to how the organization grows.
If you want a role where operational excellence actually matters—and you get the runway to build systems that scale—this is it.
