We are expanding our Meetings & Events team and looking for a high-caliber coordinator who thrives in a fast-paced, detail-driven environment.
Role Overview
The Meetings & Events Coordinator plays a mission-critical role in the planning, administration, and on-site execution of DOCS Sedation training programs across the country. This position supports both event operations and sponsor relations while managing high-volume attendee workflows with precision, professionalism, and strong customer focus.

Key Responsibilities
Event Operations Support
- Deliver day-to-day support for the DOCS Sedation Meetings & Events team.
- Partner with event leadership on sponsor relations, including orientation calls, pre- and post-course communication, sponsor packets, badges, and shipping logistics.
- Manage event timelines: temporary staff scheduling, sponsor communication, security, and transportation.
Registration Management
- Process attendee registrations, payments/refunds, badge production, coupon codes, certificates, and pre-registration lists.
- Verify attendance post-course and maintain accurate training records.
- Collaborate on database updates and issue resolution.
Customer Experience
- Handle inbound phone and email inquiries with professionalism aligned to DOCS Sedation’s clinical education environment.
- Make confirmation calls and deliver pre-event communication to ensure a smooth attendee experience.
Post-Program Administration
- Process verifications, evaluations, post-show reports, and related documentation.
- Oversee or complete show box and inventory management:
- Maintain inventory of event supplies and reorder as needed.
- Prepare show boxes and event signage.
- Manage incoming/outgoing shipments for each program.
Event Travel
- Provide on-site support multiple events per year. Must be willing to travel.
- Fully manage programs from planning through execution, with growth opportunities based on scheduling and training.
You bring:
- 2–4 years of event coordination or related operations experience (healthcare, education, or professional training preferred).
- Strong mastery of event logistics, customer service, and project coordination.
- Experience with event management systems (preferred but not required).
- Comfort with high-volume administrative workflows and deadline-driven environments.
- Excellent communication, problem-solving, and stakeholder management skills.
- Ability to travel domestically 30 days per year
