What are the responsibilities and job description for the Residential Coordinator position at Integrated Life Choices?
Summary: Responsible for overseeing the DSM and the locations of the respective DSM. Coordinator is responsible for the overall direction, training, coordination, and evaluation of the DSM. The Coordinator will ensure the DSM and the locations of the DSMs are ran in accordance with ILC’s Policies and all applicable laws. Responsibilities include interviewing, hiring, training, planning, assigning, and directing work of the DSM. The Coordinator is also responsible for rewarding and/or disciplining DSM as needed to meet their job expectations and ILC Core Values.
Essential Functions & Responsibilities include the following (other duties may be assigned):
- Actively involved with referrals and attending, participating in Welcoming Committee/Transition Form Policies including follow-up on referrals and reporting back to the committee. (Weekly)
- Oversee the intake process/transition forms process of new individual support including the completing the Person Centered Training and including transfer of services/location.
- Perform Social Security Rep Payee responsibilities as assigned and per ILC Management of Personal Funds Policy
- Schedule and oversee Quarterly Staff Meetings.
- Chair weekly L10 meetings with your managers and attend the AD weekly L10 meeting.
- Read TLogs/ GER's/ Approve GER's in established timelines and ensure appropriate actions is occurring and looking for trends and to be pro-active. (Daily)
- Monitor QIS/APP for form completion. Acknowledge Flags on App after addressing with DSM and ensure Quality reviews are corrected and flags removed for book reviews for financial, medication, confidential, and programs. (Weekly)
- Visit homes and/or locations minimum of once weekly to do a visual inspection/environment review and to observe DSM per coordinator checklist.
- Approve/publish master scheduling for location ensuring correct hours scheduled according to the staff generator (DSP & DSM). (Monthly and as needed)
- Complete DSM Payroll and all other time off requests, etc. (Bi-weekly)
- Review and approve expense reports. (Monthly)
- Ensure leadership, management and holding DSMs accountable for following Job Expectations tracked via QIS and/or retrain DSM on duties to meet job expectations and/or corrective action. This includes 1:1 meeting, at least monthly, with DSM as needed to review job expectations, evaluate progress and other issues.
- Responsible for the Manager Training and the on the job training of the DSM.
- Reviews ISP packets before annual and semi-annual meeting to ensure information is complete and attends ALL Annual ISP and Intake meetings (Attend semi-ISP meeting as needed) and ensures changes are implemented.
- Approves all programs ensuring the policies are followed, safety plans, positive support plans, activities, hope and dreams, etc. and/or writes, reviews, updates as needed. Ensuring all assessments have been completed and attached to the programs.
- Completes DSM performance reviews (quarterly).
- Responsible and is on call for DSMs on weekends for emergency purposes.
- Responsible for managing overtime for your program and analyzing for decreasing trends.
- Responsible for managing turnover for your program and analyzing for decreasing trends.
- Acts as a liaison between state, ILC and DSMs.
- All other duties and possible hours as assigned and/or division of duties as assigned by the AD.

Education/Knowledge, and Skills Required or Desired:
At least three years of experience working with individuals with DD and/or bachelor’s degree in related field preferred
Strong organizational and time management skills
Excellent written and verbal communication skills
Ability to work independently and as part of a team
Detail-oriented with a high level of accuracy in tasks
Experience in administrative support or related fields preferred
Experience in Therap preferred
Complete and pass all required registry and background checks
Computer Skills:
To perform this job successfully, an individual should know email software, word processing software; spreadsheet software, payroll systems, and Therap software.
Language Ability:
Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to write speeches and articles for publication that conform to prescribed style and format.
Math Ability:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
