Position Overview

The Service Coordinator is responsible for planning, scheduling, logistics and coordinating service activities to ensure timely and efficient support and operational efficiency. This role serves as the primary liaison between field technicians, customers, and internal departments to ensure smooth operations, accurate documentation, and superior service delivery.

Key Responsibilities

  • Schedule and coordinate Safety Training with the Safety Department.
  • Maintain and update the Training Matrix for both Safety and external training programs.
  • Track completion and renewal of certifications to ensure compliance with safety standards.
  • Arrange travel logistics for new field technicians, including hotel accommodations and rental vehicles.
  • Coordinate facility walkthroughs for new hires and visitors.
  • Collaborate with the warehouse on spare parts coordination and delivery.
  • Communicating with the Service Manager and team leads to assigning new hires to job sites and confirming readiness.
  • Assist the Service Manager in ordering tools and ensure all new hires receive the correct tools based on their role before deployment.
  • Verify all field employees have appropriate PPE (e.g., hard hats, safety vests, gloves, protective gear) prior to job site departure.
  • Support Assistant Service Technicians in the warehouse by ensuring:
  • Proper PPE use and availability.
  • Completion of weekly reports.
  • Access to necessary tools and equipment.
  • Assist in locating parts for field service technicians.
  • Communicating with all leads to track assistant technician development and field progress.

Qualifications

  • High school diploma or equivalent required
  • 2 years of experience in service coordination, logistics, or administrative support, ideally in a technical or field services environment preferred
  • Strong organizational and time management skills with the ability to prioritize tasks and manage multiple deadlines.
  • Excellent verbal and written communication skills for interacting with technicians, managers, and clients.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and scheduling software; experience with ERP or CRM systems is a plus.
  • Detail-oriented with a commitment to accuracy in documentation and reporting.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Problem-solving mindset with a proactive approach to resolving scheduling and logistical challenges.
