We are seeking a highly organized and detail-oriented Executive Assistant & Travel/Event Coordinator to provide administrative support to senior leadership while managing corporate travel arrangements, meetings, and special events. The ideal candidate is proactive, professional, and able to manage multiple priorities in a fast-paced environment. This is an in office, full-time position.
Key Responsibilities
Executive Assistant Duties
- Provide high-level administrative support to executives and leadership teams
- Manage calendars, schedule meetings, and coordinate appointments
- Prepare correspondence, reports, presentations, and meeting materials
- Screen calls, emails, and inquiries with professionalism and confidentiality
- Coordinate internal and external communications
- Maintain records, files, and confidential documents
- Assist with project management and special assignments
- Arrange and coordinate executive meetings, including agendas and follow-up items
Travel Coordination Duties
- Coordinate domestic and international travel arrangements including flights, hotels, transportation, and itineraries
- Negotiate and manage hotel room blocks and vendor contracts
- Prepare detailed travel itineraries and departure information
- Monitor travel budgets and expenses
- Assist travelers with schedule changes, travel issues, and special requests
- Ensure compliance with company travel policies
Event Coordination Duties
- Plan and execute corporate meetings, conferences, incentive trips, and special events
- Coordinate venues, catering, entertainment, transportation, and audiovisual needs
- Manage event timelines, registration, and attendee communications
- Work closely with vendors, hotels, and event partners
- Oversee on-site event logistics and troubleshoot issues as needed
- Track event budgets and reconcile invoices after events
- Ensure exceptional attendee experiences from planning through completion
Qualifications
- Previous experience as an Executive Assistant, Travel Coordinator, Event Planner, or similar role
- Strong organizational and multitasking skills
- Excellent verbal and written communication abilities
- Proficiency in Microsoft Office Suite and virtual meeting platforms
- Ability to handle confidential information with discretion
- Strong attention to detail and problem-solving skills
- Ability to work independently and meet deadlines
- Experience with corporate travel and event planning preferred
- Must be able to pass a background check
