POSITION SUMMARY:
Entry-level clerical and frontline customer relations work, with primary responsibility for courteous and efficient facilitation of telephone calls and visitors. Expedites the steady and courteous flow of internal and external communications, such as incoming/outgoing telephone messages, visitors, and delivery services. This position receives moderate to light supervision in the performance of duties and responsibilities.
FUNCTIONS AND RESPONSIBITIES:
- Greet visitors and allow/deny access to the building using the door security system.
- Maintain guest lobby/reception area
- Issues and collects visitor badges according to security policy
- Courteously and promptly determine nature of a caller’s business and directs callers and visitors to the appropriate person.
- Operates telephone console to facilitate internal messages and telephone transfers and taking messages as appropriate and ensures follow-through on delivery of messages/customer requests.
- Manage bookings of conference rooms and arrange for cleaning after the completion of meetings.
- Manage conference room calendars
- Ensure rooms are scheduled for cleaning as required
- Ensure rooms are stocked
- Provides answers to routine inquiries and other information as appropriate.
- Must maintain courteous, professional, and effective working relationships with employees at all levels of the organization.
- Must develop and maintain courteous and effective working relationships with clients, vendors and/or any other representatives of external organizations.
- May be assigned additional simple clerical duties when time permits.
- Comply with all company policies and safety regulations and procedures.
- All other duties as assigned

- Knowledge of Microsoft Office applications; word processing and databases. The ability to create and utilize spreadsheets is helpful.
