Business Operations & Marketing Coordinator
Part-Time Independent Contractor | Primarily Remote | Long Island, NY
About the Role
Insightful Business Planning is seeking an experienced Business Operations & Marketing Coordinator to support the execution of marketing, communications, systems, and business initiatives.
This is a marketing-focused role grounded in strong administrative and organizational skills. You will help turn ideas and strategy into polished, professional execution, from email campaigns and digital content to presentations, frameworks, branded materials, and business processes.
We are looking for someone who is organized, resourceful, comfortable with technology, and able to take ownership of their work while collaborating closely on direction and priorities.

Key ResponsibilitiesMarketing & Communications
- Coordinate and execute email marketing, digital content, and social media activities
- Create and format polished, consistently branded emails, graphics, presentations, frameworks, and other business materials
- Support marketing campaigns, including contact lists, landing pages, forms, follow-up sequences, and related activities
- Review customer-facing communications for accuracy, consistency, functionality, and brand alignment before publication
Systems & Processes
- Work within CRM, email marketing, and other business technology platforms to support business and marketing initiatives
- Document recurring processes and develop SOPs as workflows are established
- Identify gaps or inefficiencies, think through potential solutions, and present options for improving how work gets done
Business & Administrative Support
- Provide day-to-day administrative support as needed
- Coordinate priorities, deadlines, and follow-up activities to help move initiatives through completion
- Maintain organized business information, contacts, files, and materials
Technology
GoHighLevel experience is strongly preferred. This role will work extensively within the platform, including CRM management, email marketing, workflows, automations, forms, and the ongoing development and management of business and client-facing systems.
Experience with some of the following is also preferred:
- CRM and marketing automation
- MailerLite or similar email marketing platforms
- Substack or similar publishing platforms
- Canva
- Google Workspace
Strong technology aptitude, resourcefulness, and the ability to quickly learn and adapt to new systems are essential.

- 3 years of administrative, business operations, executive support, or similar experience
- Strong organizational and project coordination skills
- Experience supporting marketing execution or digital communications
- Excellent written communication, editing, and proofreading skills

- Strong follow-through, resourcefulness, and problem-solving skills
- Ability to learn and work confidently across technology platforms

Schedule & Location
This is a part-time independent contractor position and will primarily be remote.
The role requires availability for an in-person meeting approximately once per month and occasional events on Long Island, primarily in Suffolk and Nassau Counties.
The position has the potential to expand as the business grows.
Pay: $20.00 - $30.00 per hour
