Must-Haves:
- Bachelor's degree preferred. High School diploma or GED equivalence required.
- 1-3 years of experience in high-volume onboarding, staffing/temp coordination, HR operations, or a similar administrative role.
- Experience processing high volumes of candidates or employees on a recurring cadence (weekly/biweekly) strongly preferred.
- Proficiency with MS Office Suite required
- Experience with iCIMS or similar ATS preferred experience with an LMS or onboarding platform (NEO) as a plus.
- Bilingual English Spanish a plus.
Job Description:
We are seeking a highly organized, process-driven coordinator to manage the onboarding of a high volume of temporary employees each week. This individual owns the temp candidate journey from placement confirmation through first day, processing new hires efficiently and accurately at scale and ensuring every temp is fully enrolled in and completes NEO before start. The ideal candidate thrives on repetition done right, moves fast without sacrificing accuracy, and is energized by hitting weekly throughput targets rather than managing a small number of high-touch relationships.
Responsibilities:
- Process a high volume of temporary hires weekly (approximately 200 per week), ensuring no candidate falls through the cracks during onboarding.
- Manage weekly onboarding cohorts from placement confirmation through first day, on a consistent weekly cadence.
- Initiate, track, and clear background checks, drug screens, and all pre-employment requirements at volume.
- Enroll every temp hire into NEO and track completion status through to first day; escalate incomplete enrollments before start date.
- Coordinate I-9s and all onboarding documentation for weekly cohorts, batching where possible for efficiency.
- Track and report weekly throughput metrics: cohort size, offer-to-start time, NEO completion rate, and drop-off points.
- Identify bottlenecks in the weekly processing pipeline and bring forward fixes — this role should get faster and cleaner over time, not just repeat the same steps.
- Partner with Recruiting Operations to refine and standardize the weekly temp onboarding SOP.
- Partner with staffing/hiring teams to ensure a clean handoff at the start date.
- Must be comfortable with repetitive, high-volume administrative work without losing attention to detail.
- Must be able to manage multiple weekly cohorts and deadlines simultaneously.
- Must maintain strict confidentiality of candidate and employee information.
- Must be able to work independently and take ownership of weekly throughput outcomes.
- Other duties as assigned.
