They achieve superior technical skills and understanding of the order fulfillment process, and practice strong communication skills both internally and externally. They possess the desire to achieve a high level of professionalism through continuous improvement processes and practices.Essential Duties and Responsibilities:Proposal and Quote GenerationCreate accurate and complete client proposals, to include new customer set up, entry/import of specifications, pricing, classification, and revenue codes. Order Processing and ManagementGenerate purchase orders promptly on receipt of required documentation and/or deposit per current process. Ensure orders are entered promptly and reviewed for accuracy and completeness before being sent to the manufacturers/vendors.Work with vendors and internal project teams to reconcile acknowledgements, tracking and resolving any discrepancies to manage timely ship dates based on project requirements. Monitor order status from inception through delivery and installation, communicating any potential delays or issues.Project Coordination and Logistics Assist with project management tasks as needed, including spec checks, managing punch list identification/resolution, and ensuring factory interface is ongoing.Monitor and track projected ship dates and project schedule requirements, ensuring all acknowledgements are checked and discrepancies followed up on. Coordinate delivery and installation dates with vendors, operations teams, clients and project managers (depending on work scope). Ensure orders are closed out in a timely and responsible manner, including final invoicing and documentation. Communication and Reporting Act as a central communication hub, maintaining timely and accurate communication with both internal customers (sales, design, project management, finance, operations) and external customers. Create and publish regular customer status reports, providing clear updates on project progress. Proactively address client inquiries, resolve issues, and provide product information with a high level of professionalism. Experience with dealership business systems- preferred. Furniture industry experience – preferred. Proficiency in Microsoft Office software (Excel, Word, Outlook, etc.). Ability to learn and apply technical skills in dealership business system and 20/20 software. Understanding of the complexities and sophistication required to thrive in the dealer environment. Fluid interpersonal skills to interact effectively with a wide range of customers, vendors, personnel, and departments. Ability to see the big picture and integrate into day-to-day tasks and activities. Excellent and effective oral and written communication. Prior experience successfully managing multiple projects simultaneously in a fast-paced work environment. Excellent analytical and problem-solving skills. Strong organizational and administrative skills. Experience in customer service required. Demonstrated commitment to professionalism, integrity, and sound judgment in business transactions, and to providing the highest level of customer satisfaction.
