Typical Duties/Job Duties
- Prepares and maintains CIS’s financial operations including annual operating budget, financial and statistical analysis, grant and scholarship disbursements, and personnel records. Collects student payments and reconciles payments for study abroad expenses, scholarship taxes, health insurance, passport services and application fees. Processes budget adjustments, EPAF’s, contract administration, IRS deposits for scholarship taxes and reconciles monthly office ProCard expenditures. Maintains policy and procedure updates.
- Assists Foreign National Faculty Coordinator with study abroad procedures including program travel arrangements and maintains records to complete assessment and reporting.
- Corresponds with insurance company for yearly contract for mandatory travel insurance. Registers students with insurance company and collects payment in order pay student premiums. Makes sure students are registered and tuition, fees and program costs are paid prior to departure. Requests student scholarships for ASU students who participate in a Study Abroad program, or who spend a semester abroad as an exchange student and helps exchange students register for the classes they will take while abroad.
- Finalizes director expense reports upon return for documentation purposes. Attends safety and security training.
- Manages Glacier software for international student scholarship tax administration, Glacier TaxPrep for student tax preparation and international student health insurance reconciliation and payment. Assists students with obtaining ITINs and SSNs by educating them on the processes and transporting to the appropriate offices.
- Assists with programs such as International Student Orientation and International Education Weekend, and general office duties when needed.
- Ability to coordinate the daily activities and financial operations of the Center for International Studies ensuring compliance with university policies and procedures as well as contemporary best professional practice; and in keeping with the goals for student development and retention
- Skilled in using a personal computer including word processing, spreadsheet, calendar (Outlook or other), web-based applications, Banner and Cognos
- Ability to handle sensitive information and maintain confidentiality and to respond effectively and appropriately in emergency and crisis situations
- Ability to manage multiple projects and priorities in an effective and efficient manner
- Ability to provide excellent professional interpersonal, verbal and written communication skills
- Ability to work effectively and harmoniously with students, parents, co-workers and others contacted in the course of work
- Bachelor’s degree in business, management, accounting or other directly related field, or any equivalent combination of training and experience.
- Ability to work occasional evenings, weekends, or extended hours as needed.
