Our campus is located at 1601 Maple Street, Carrollton, GA 30118.

Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon teaching assignments and student demand, this could include the Carrollton or Newnan campuses.

Job Summary

The Financial Aid Specialist is responsible for the comprehensive administration of institutional scholarships and the Federal Work Study (FWS) Program at the University of West Georgia. This position ensures compliance with federal, state, donor, and institutional regulations while supporting institutional enrollment, retention, and student success initiatives. The Specialist manages approximately $5.2 million in scholarship funds annually and oversees all aspects of the Federal Work-Study program, including fund monitoring, reporting, reconciliation, and student support. The role collaborates closely with campus partners and provides high-quality customer service to students and families regarding financial aid program.

Responsibilities

  • Manage the administration, awarding, disbursement, and compliance of institutional scholarships totaling approximately $5.2 million annually. Ensure alignment with donor agreements, university policies, and state/federal regulations. Coordinate with Academic Affairs, the University of West Georgia Foundation, and the Office of Student Accounts and Billing to maximize effective use of scholarship funds. Oversee setup, maintenance, and updates of the scholarship portal to ensure an efficient application and awarding process.
  • Administer all aspects of the Federal Work-Study Program in accordance with Title IV regulations under the U.S. Department of Education. Manage allocation of FWS funds to on- and off campus partners; monitor student eligibility and earnings; conduct monthly expenditure monitoring and reconciliation; and prepare required annual FISAP reporting. Serve as liaison with Career Services, Human Resources, Payroll, and departmental supervisors to ensure compliance with federal and institutional guidelines.
  • Process Federal Direct, Federal PLUS, and approved private education loans in compliance with federal, institutional, and lender requirements. Review and resolve loan error reports within mandated timeframes. Exercise professional judgment in analyzing and processing financial aid files, ensuring accurate awarding and disbursement of federal, state, and institutional aid.
  • Maintain student records in accordance with the Family Educational Rights and Privacy Act (FERPA). Provide accurate information to students and families regarding financial aid status and funding options via in-person, phone, and email communication. Document policies and procedures, support audits and reporting requirements, and perform miscellaneous duties as assigned in support of Financial Aid operations.

1 - 3 years of experience in a college or university enrollment management office; or Minimum of 6 months of experience in a college financial aid office. Excellent written and verbal communication skills. Strong attention to detail and organizational skills. Strong technical proficiency, including Microsoft Excel and experience working with financial aid or student information systems. Customer service oriented.

Proposed Salary

$21.66 - $23.56 hourly. Paid on a bi- weekly basis.
