Salary Range for Clerk Typist: $43,364.00-$54,815.00 Yearly – Individuals new to state service start at the minimum of the pay plan.

INTRODUCTION

The Facilities Operations Department is seeking candidates to fill two permanent Clerk Typist/Office Assistant positions within the Operations Center, located at the Storrs Campus. These positions are categorized as “Open to the Public”; current UConn NP-3 employees will be given preference in the hiring process. The Clerk Typist/Office Assistant acts as a Work Order Dispatcher with a focus on customer service to perform clerical duties in conjunction with the AiM computerized maintenance management system.

The Work Schedules For These Two Positions Are

  • 2nd Shift, Tuesday - Saturday, 4:00 p.m. to 12:00 a.m.
  • 3rd Shift, Tuesday – Saturday, 12:00 a.m. to 8:00 a.m.

Duties include, but are not limited to, answering phones (trouble calls), entering service requests into the AiM system, making determination of work order priorities, assigning trade(s) to respond to calls, running reports as required, researching work order issues and statuses, monitoring the department’s shared email accounts, filing, preparing correspondence, cross training in other clerical assignments within the department, and completing special projects as assigned.

Essential skills required for this job include strong communication and interpersonal skills, reliability, commitment to teamwork, and customer service experience. This position may be required to supervise and train student employees.

The Operations Center provides a point of contact for the Storrs and Regional Campuses. This group acts as the communication center for all inquiries, requests for repairs, and emergencies. This position is classified as Emergency Support Services/Essential Staff (ESS/ES). It is required, and mandatory, to report to work during emergency closures/delayed openings due to inclement weather or for significant events that affect campus operations. Some overtime will be required as the Operations Center must be staffed 24 hours a day, 7 days a week, 365 days a year (1st, 2nd & 3rd shifts as well as holidays and weekends). The 2nd and 3rd shift work schedules are eligible for shift differential. Weekend differential is applied to hours worked on Saturday or Sunday if the entire 8-hour shift is worked.

EXAMPLES OF DUTIES

Clerk Typist

  • TYPING:
  • Using computers, tablets and other electronic equipment, types a variety of materials from rough copy or electronic recording device including correspondence, memos, reports, forms, applications, bills and other documents and records with speed and accuracy;
  • Reviews and corrects drafts for conformance with originals;
  • Enters and retrieves data on computers, tablets and other electronic equipment.
  • FILING:
  • Maintains logs;
  • Sets up and maintains records and files according to established procedures (e.g., alpha, numeric or chronological order);
  • Searches files for information.
  • CORRESPONDENCE:
  • Prepares and sends out standard form letters making minor revisions or additions.
  • REPORT WRITING:
  • Compiles information from standard sources and prepares reports.
  • INTERPERSONAL:
  • Answers phone, transfers calls and takes messages;
  • Receives and directs visitors;
  • Handles routine requests for information, procedural guidelines or assistance over the telephone or in person (e.g., counter, reception and/or information desk).
  • PROCESSING:
  • Receives, sorts and distributes mail;
  • Performs a variety of basic processing tasks (e.g., sorts, numbers, codes and files materials), reviews materials for accuracy and completeness (ensures categorical information is completed as required), makes changes per instructions or as authorized, verifies information through cross-referencing of existing computer and/or manual files or inquiries by phone or form letter to sender or other work units;
  • Does routine posting to ledgers, account books or other records;
  • Receives payments for licenses, bills, applications, fines and fees, etc.;
  • Prepares, totals and balances receipts;
  • Prepares cash transmittal/deposit slips;
  • Types and prepares purchase requisitions, orders or billing invoices according to established procedures;
  • Assists in or maintains inventory and orders supplies;
  • Performs related duties as required.

Office Assistant

Performs the full range of general clerical duties as described in the following areas:

  • TYPING:
  • Types a variety of materials in relation to other duties or as assigned;
  • Enters and retrieves data on computers, tablets, and other electronic equipment.
  • FILING:
  • Sets up and maintains office procedures, filing and indexing systems and forms for own use.
  • CORRESPONDENCE:
  • Composes routine correspondence.
  • REPORT WRITING:
  • Compiles and generates recurrent technical, statistical or financial reports requiring judgment in the selection and presentation of data (format).
  • INTERPERSONAL:
  • Provides general information and referral services in response to citizen complaints or questions regarding an agency's services or authority;
  • Responds to inquiries from other work units or departments/agencies;
  • Applies agency policies and state statutes and regulations in determining case status or responding to requests for procedural assistance;
  • May lead lower level employees in carrying out assigned clerical functions.
  • PROCESSING:
  • Maintains calendars of due dates and initiates recurring work or special clerical projects accordingly;
  • Processes a variety of documents in determining routine case status;
  • Exercises discretion in choosing appropriate follow through procedures within defined guidelines including assembling and reviewing incoming materials for accuracy, completeness and conformance to established guidelines and agency policy and procedures, verifying information through use of internal resources and contacts with sender and other work units and soliciting additional information as required by correspondence;
  • Processes purchase requisitions/purchase orders for subsequent action;
  • Prepares payment lists and billing invoices;
  • Receives shipments of materials and matches/verifies shipment or billing invoices against original purchase orders;
  • Maintains files, journals or account ledgers by posting credits, expenditures, interest, etc.;
  • Figures payments, costs, discounts and adjustments using prescribed methods and formulas;
  • Receives monies in various forms such as cash, checks and money orders and prepares for deposit;
  • Maintains inventory and orders supplies;
  • Uses a variety of electronic equipment to perform job functions.
  • Performs related duties as required.

KNOWLEDGE, SKILL AND ABILITY

Clerk Typist

  • Knowledge of
    • office procedures including proper telephone usage and filing;
    • spelling, punctuation and grammar;
  • Skills
    • in typing a variety of materials;
    • interpersonal skills;
    • oral and written communication skills;
    • in performing arithmetical computations;
  • Ability to
    • operate office equipment which includes computers, tablets and other electronic equipment;
    • perform clerical tasks such as coding, sorting, alphabetizing and numeric ordering.
Office Assistant

  • Knowledge of office systems and procedures including proper telephone usage and filing;
  • Skills
    • interpersonal skills;
    • oral and written communication skills;
    • performing arithmetical computations;
  • Ability to
    • perform a full range of clerical tasks;
    • operate office equipment which includes computers, tablets, and other electronic equipment;
    • operate office suite software;
    • schedule and prioritize workflow;
    • read and interpret complex instructions.
Minimum Qualifications - General Experience

Clerk Typist

Six (6) months as a Typist or its equivalent.

Office Assistant

Two (2) years of general clerical work experience.

Minimum Qualifications - Substitutions Allowed

Clerk Typist

Graduation from high school with coursework in typing.

Office Assistant

College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equaling one/half (1/2) year of experience to a maximum of two (2) years.

Special Requirements

Office Assistant

Persons having responsibility for supervising or observing the behavior of inmates or custodial individuals will be required to possess a high school diploma or General Educational Development (GED) certification by the time of permanent appointment.

Preferred Qualifications

  • Two to three years of demonstrated customer service skills.
  • Two to three years of experience using computerized maintenance management software (such as AiM) or experience using a similar enterprise application.
  • High level of demonstrated reliability.
  • Knowledge of trade terminology (HVACR, Electrical, Plumbing, etc.) and building systems.
  • Ability to multi-task and prioritize work independently.
