Primary Purpose Of The Organizational Unit:
The Bryan School Dean’s Office provides overall business management to six academic departments, programs, and supporting offices.

Position Summary:
The Business Officer position is responsible for oversight of financial processes (operational) within the Bryan School Dean’s Office. The employee will track and report on the School’s financial assets and exercise leadership with regards to the expenditure and reconciliation of funds (purchasing and accounts payable processes). In addition to staying apprised of university financial procedures, the employee will serve as a resource to department/program admins and supervise one SHRA employee.
For success in this position, the individual will need strong analytical skills, comfort using data platforms, and a high degree of accuracy/attention to detail. Ability to synthesize information to understand unit operations and priorities is critical. As this is a team-oriented role, individual must be able to work well with others and provide excellent ‘customer’ service whether interacting with internal constituents or external vendors. Being able to self-initiate activities, including independently monitoring deadlines and task completion are central to this role.

- Bachelor’s degree plus one year of related experience —OR— an equivalent combination of education and experience.
- In-depth experience utilizing QuickBooks for bookkeeping operations.
- Familiarity with Banner, Chrome River (Emburse Enterprise), Excel, and other Microsoft productivity tools.
- Experience in financial processing within a state/government organization. This includes navigating federal or state-level policies regarding the allowable use of funds by source.
- Team-oriented individual with the willingness to take on new tasks to sustain operations, as needed.
- Prior supervisory experience.
- Background in higher education would be considered positively.

Key Responsibility:
Coordinate Bryan School financial operations
Essential Tasks:
- Maintain and reconcile all funds controlled by the Bryan School Dean’s Office. Reconciliations shall be completed monthly (with mid-month review).
- Coordinate annual budget processes and calendar — applicable funding sources include state, tuition differential, non-state (restricted and unrestricted), endowment, and revenue funds.
- Implement and record unit-level budget allocations and track financial commitments. Oversee budget transfers and Journal Vouchers as required to fulfill Bryan commitments.
- Through knowledge of University policies and procedures, ensure all funds are spent in accordance with allowable use.
- Serve as an internal resource on financial information, helping departments understand policy, processes, and engage in problem-solving.
- Engage in change management, identifying how new UNCG platforms, policies, or processes should be integrated into existing Bryan School workflows.
- Monitor departmental spending of state OTP, serving as a resource for planning and use, particularly with regards to the end of the fiscal year.
- Other duties as needed to meet School’s financial operations and maintenance needs.

Essential Tasks:
- Serve as a primary liaison with the Procurement Office on routine and novel expenditures.
- Oversee and/or initiate purchasing processes, including: requisitions/POs, sole source agreements, new vendor setup, contract reviews, etc. Advocate for the needs of the School, as necessary.
- Monitor purchases from inception to completion, working with Accounts Payable to ensure timely payment to vendors.
- Lead the unit’s monthly Pcard process, ensuring all transactions are reconciled to the appropriate accounts by prescribed deadlines.
- Stay abreast of changes to purchasing/expenditure policies, disseminating information to key constituents in a timely manner.
- Seek proactive clarification on processes, as needed.

Financial reporting and record maintenance
Essential Tasks:
- Monitor spending on projects and provide monthly budget reports (e.g., OEA, etc.). Regular reporting shall include monthly fund balances, YTD utilization, and end-of-year reporting on operational expenditures.
- As requested, provide regular and periodic budget reports to Bryan leadership and Assistant Dean for financial planning purposes. Budget reports should be formatted to optimize utility, keeping the end-user’s needs in mind.
- Position is responsible for independently verifying the accuracy of all data, reports and records.
- Maintain financial reports and records electronically, for ease of use and retrieval. Proactively work to maintain record completion and integrity.
