Responsibilities
Greets and assists faculty, students and visitors, and ensures that the front desk is covered at all times. Assists and answers any general questions/concerns visitors may have in a kind and friendly manner, making sure they feel welcomed and leave with answers or directions.
Assists AME and FCAAP Directors in all phases of center event planning. Helps coordinate seminars/meetings and conferences, including room reservations, food (delivery/setup), cleaning up afterwards. Maintains up-to-date calendars (including name, purpose and times) for conference rooms and classroom spaces and assists users with swipe access to the rooms when needed.
Maintains office supply inventory and makes sure conference rooms and breakroom areas are well maintained. Maintains a tracking list of departmental equipment and supplies. Keeps up with the printer/copier maintenance (including calling for parts, supplies, toners, keeping paper in stock). Assists faculty with copying or scanning documents as needed.
Responsible for handling all incoming and outgoing mail and packages. Runs documents to FAMU/FSU as needed.
Responsible for travel authorizations and processing of expense reports in Concur for faculty and guest travelers. Advises faculty and students on current travel policies and provides guidance to ensure compliance.
Processes requisitions in SpearMart and OMNI Financials and then marks ordered goods as received ensuring proper closure in FSU systems. Places on-line orders with vendors where P-card payments are accepted and allowed. Works with all vendors on any outstanding issues for backorders or returns/credits. Ensures the propriety of the purchases, compliance with prompt payment, and other applicable laws, policies, and procedures of the State of Florida and Florida State University.
Serves as both T-Card and P-Card holder, manages related records, and ensures policies, procedures, and guidelines for travel and purchasing are adhered to.
Qualifications
High school diploma or equivalent.
