Job Overview
We are a high-volume, multi-site long-term care (LTC) pharmacy operation across three licensed pharmacy locations in New Jersey, New York, and Pennsylvania. We serve skilled nursing facilities, assisted living communities, and other institutional care settings across our service region.
We are seeking an experienced, organized, and proactive Staffing Scheduler to own and manage all scheduling functions across our three pharmacy locations and approximately 150 staff. This role is central to our daily operations — keeping the right people in the right place at the right time across a 24/7 pharmacy environment with strict regulatory and service level requirements.
Duties
- Build, maintain, and publish weekly staff schedules across all three pharmacy locations (NJ, NY, PA), covering all departments: data entry, dispensing/fill, verification, customer service, delivery, and management.
- Coordinate scheduling across shifts including day, evening, overnight, and weekend coverage to ensure no gaps in critical production or dispensing functions.
- Manage call-outs ensuring timely backfill and continuity of operations.
- Proactively identify and resolve coverage gaps before they impact operations; maintain an on-call rotation and bench of available coverage staff.
- Coordinate schedule adjustments around cycle fill deadlines, facility delivery windows, and regulatory compliance requirements.
Requirements
- Minimum 2 years of scheduling, workforce coordination, or workforce management experience in a healthcare, pharmacy, manufacturing, or other 24/7 operational environment.
- Demonstrated experience managing schedules for 50 employees across multiple departments or locations.
- Strong organizational skills with the ability to manage competing priorities and communicate clearly under time pressure.
- Proficiency with scheduling software, HRIS platforms, or workforce management systems; competency with Microsoft Excel or Google Sheets required.
- Ability to respond quickly to unplanned call-outs and staffing gaps, including outside of normal business hours when escalation is needed.
- Excellent written and verbal communication skills; ability to communicate professionally with staff at all levels.
Preferred
- Prior experience in a pharmacy, healthcare, or other regulated operational environment.
- Familiarity with NJ, NY, and/or PA employment and labor law as it applies to scheduling, overtime, and leave.
- Experience in a multi-site environment managing schedules across geographically distributed teams.
- Spanish or other second language proficiency a plus given our staff demographics.
