Role Summary

The U.S. Global Mobility Expert is responsible for the end-to-end management and governance of U.S. immigration and work authorization matters for INNIO employees, as well as outbound immigration / emigration and global mobility activities from the U.S. to the EU and other international destinations. The outbound scope primarily covers short-term international travel, training assignments, temporary assignments and other cross-border work-related activities and associated immigration and work authorization requirements. The role serves as a central internal point of contact for U.S. immigration and outbound mobility matters and ensures that immigration and mobility processes are managed in a legally compliant, timely and consistent manner.

The U.S Global Mobility Expert works closely with HR, EU Global Mobility Team, Tax, business stakeholders and, where required, external immigration counsel. A key objective of the role is to build and maintain strong internal U.S. immigration capabilities and manage standard cases in-house wherever legally and operationally appropriate.

Role Objective

The U.S. Global Mobility Expert is intended to strengthen INNIO’s internal U.S. immigration and global mobility capability by taking ownership of standard U.S. inbound immigration processes as well as outbound immigration / emigration activities from the U.S. to the EU and other international destinations, primarily covering short-term travel, training and temporary assignments in close cooperation with the EU Global Mobility Team. A core objective is to maximize internal handling of standard immigration and mobility matters through appropriate professional training, strong internal expertise, high-quality legal and regulatory research, effective process design and the responsible use of approved AI tools. External immigration counsel should be engaged only where legally required or where specialist legal advice is necessary for complex, exceptional or high-risk matters.

Essential Responsibilities

U.S. Immigration & Work Authorization

  • Manage and coordinate U.S. immigration and work authorization processes, including H-1B, L-1B Blanket and Individual petitions, employment-based Green Card processes and other applicable U.S. visa categories.
  • Assess immigration requirements and determine appropriate immigration pathways in cooperation with relevant stakeholders.
  • Prepare, coordinate and quality-check immigration applications, supporting documentation, forms and case files.
  • Coordinate with USCIS, the U.S. Department of State, U.S. Embassies and Consulates, immigration counsel and other relevant authorities.
  • Manage U.S. visa appointments, including expedited or emergency appointment requests where applicable.
  • Establish and maintain standardized internal processes, templates, checklists and compliance controls for U.S. immigration.
  • Ensure accurate case tracking, documentation and adherence to statutory and procedural deadlines.
  • Monitor changes in U.S. immigration legislation, regulations, policies and administrative practice and assess their impact on INNIO.
  • Act as the central coordination point for U.S.-to-EU mobility cases and ensure effective collaboration with the EU Global Mobility Team, U.S. HR, sending and receiving entities, employees, Tax and Legal stakeholders, and relevant local immigration providers.

Outbound Immigration / Emigration (U.S. → EU and other destinations)

  • Manage and coordinate outbound immigration / emigration matters for employees traveling from the U.S. to EU countries and other international destinations for short-term international travel, training assignments, temporary assignments and other cross-border activities, including assessment of host-country immigration and work authorization requirements, application and case tracking, document coordination, and compliance with applicable host-country requirements.
  • Provide immigration guidance to HR, managers and employees regarding short-term international travel, training assignments, temporary assignments, business travel and related work-authorization requirements, in close cooperation with the EU Global Mobility Team.
  • Manage external immigration counsel and determine when specialist legal counsel is required, with the objective of handling standard immigration matters internally wherever legally and operationally appropriate. Use internal expertise, professional training, approved AI tools and authoritative research sources to support the assessment and preparation of standard cases, while ensuring that matters requiring formal legal advice are appropriately escalated.
  • Drive continuous improvement and increased internal ownership of U.S. immigration processes, with the clear objective of minimizing reliance on external immigration providers by building strong internal expertise, effective processes and appropriate AI-supported workflows, while ensuring appropriate legal escalation for complex, exceptional or high-risk cases.
  • Support global mobility governance and the continuous improvement of immigration processes across INNIO, including the systematic use of digital tools, AI and process optimization to increase efficiency, consistency and internal ownership.

AI, Digital & Process Optimization

  • Continuously identify and implement process improvements within immigration and global mobility, including the use of digital tools, automation and AI-supported workflows; standardize recurring processes, templates and documentation; and contribute to scalable, efficient and transparent operating models.
  • Use of Artificial Intelligence (AI) in daily work: apply approved AI tools effectively and responsibly for research, information analysis, drafting, case preparation, data processing and other work-related tasks; develop and use effective prompts; critically validate AI-generated content against legislation, regulations, official guidance and other authoritative sources; and identify opportunities to integrate AI into workflows to improve efficiency, quality and consistency without replacing required legal or professional judgment.

Qualifications/Requirements

  • Strong digital and AI literacy, including practical experience using AI tools for research, analysis and daily work; ability to create effective prompts, critically validate AI-generated outputs against authoritative sources, and identify appropriate AI use cases for process optimization.
  • Bachelor's Degree in Law, Human Resources, International Business, Global Mobility or a comparable field.

  • Strong organizational and case-management skills with a high level of attention to detail.
  • Ability to translate complex legal and regulatory requirements into clear and practical business processes.
  • Excellent written and spoken English.
  • Strong communication, stakeholder-management and problem-solving skills.
  • Experience or demonstrated knowledge in outbound immigration / global mobility, particularly U.S.-to-EU short-term travel, training and temporary assignments.
