OVERVIEW:
The Operations Lead is responsible for managing the administrative, bookkeeping, and data-related needs of the Go Green Community Fresh Market. This position requires providing excellent customer service, and ensuring smooth daily operations.

- Collaborate with IMAN's Finance Department to ensure accurate and timely vendor payments.
- Work with the General Manager to maintain an organized invoice filing system.
- Request credits from vendors when necessary.
- Generate invoices for internal in-store charge accounts (IMAN-related) and follow up with Finance for payment as needed.
- Process payments and clear accounts in the point of sale system.
- Update customer accounts in the point of sale system when required.
- Reporting and Point of Sale:
- Ensure all products, pricing, and information are accurately entered and updated in the point of sale system.
- Provide feedback for improvements to existing reports and systems.
- Give direction and Support Clerk with daily tasks need to completed at the Fresh Market
- Provide financial data to the General Manager as requested.
- Balance tills and report any discrepancies to the General Manager.
- Perform bank runs for deposits and register drawer change.
- Place orders for small equipment and supplies as directed by the General Manager.
- Assist with physical inventory counts as needed.
- Create and maintain order boards to streamline the ordering process.
- Complete additional tasks as assigned by the General Manager.
- Research and source local products and recommend new items to the General Manager.
- Ensure all products are accurately labeled with price tags and signage.
- Special Projects:
- Manage the Fresh Boost program, generate related reports, and participate in partner meetings as required.
- Administer the WIC program and serve as the main point of contact with the State of Illinois.
- Unloads product from delivery trucks
- Ensures that the products are properly received by physically inspecting the products for weight, condition, temperature, and quality.
- Receive shipments, check for damages, sign off with delivery drivers.
- Inspects all deliveries to ensure they match order and invoice criteria.
- Keep record of invoices received.
- Handles various received orders simultaneously.
- Processes returns and credits for damaged or missing items.
- Completes all paperwork including purchase orders (P.O.), rotation reports and spoilage logs.
- Updates point of sale system with item costs and inventory levels.
- Communicates with vendors regarding delivery delays or problems.
- Keeps the stockroom and storage coolers clean and organized.
- Work with the General Manager to maintain an organized invoice filing system.
- Ability to sit or stand for extended periods of time.
- Ability to work for extended hours with a computer.
- High school diploma or equivalent.
- Proven experience using Excel and Google Suite.
- At least 2-3 years of experience in retail operations, accounting, or administrative support, preferably within a nonprofit or community-focused organization.
- Experience with accounts payable/receivable processes and vendor relations.
- Demonstrated objectivity, neutrality, calmness under pressure.
- Operational Management: Ability to oversee day-to-day operations, ensuring efficiency and smooth functioning of the market.
- Financial Acumen: Proficient in accounts payable, accounts receivable, and financial reporting processes.
