Position Title: Office Administrator & Layout Coordinator (Newspaper Production)
Reports To: Casino Advertising Marketing Manager
Summary:
Under the direction of the Casino Advertising Marketing Manager, the Administrative & Layout Coordinator organizes and monitors the workflow through the newspaper’s production process, produces page layouts, and manages all administrative and mailhouse duties. Responsibilities include ad trafficking, creation and follow‑through on purchase and receiving orders, presort/eDoc submission, addressing and tabbing, DSCF entry, and distribution of printed materials. The role also coordinates file delivery to the printer and maintains organized records for audit readiness.
Key Responsibilities:
- Build pages in Adobe InDesign; preflight and export press‑ready PDF/X‑1a; maintain brand and typographic standards.
- Traffic ads: intake creative, verify specs, place ads and page sponsorship banners accurately, and archive proofs.
- Coordinate with PDX Printing; deliver camera‑ready files 48 hours before expected delivery.
- Submit eDoc via Business Customer Gateway/PostalOne!; generate tray/sack tags; schedule and execute DSCF entry.
- Addressing, tabbing, and staging mail; maintain requester list hygiene (CASS/NCOA) and process returns/undeliverable.
- Create and follow through on POs/receiving; code to GL; reconcile invoices and maintain a monthly production budget log.
- Maintain design/resource files and production calendars; update job status spreadsheets and internal systems.
- Support proofreading, basic web content updates, and community postings as directed.
- Demonstrated commitment to researching and implementing new technologies, including artificial intelligence, to enhance the operations of Marketing.
- Other duties as needed.
Requirements:
- High school diploma or GED required; associate’s or bachelor’s in Graphic Design, Communications, or related field preferred.
- 2–4 years of experience in print production/graphic design/mail operations or equivalent.
- Knowledge of Macintosh/PC platforms; proficiency with Adobe InDesign, Acrobat, Photoshop, and Microsoft Office.
- Working knowledge of USPS Marketing Mail flats preparation, Full‑Service IMb, presort, and DSCF entry.
- Strong project management, organization, and communication skills; ability to meet tight deadlines.
- Must be at least 21 years old and able to obtain and maintain a gaming license, if required.
- Bilingual English/Spanish preferred; Mescalero Apache Tribal preference and bicultural experience preferred.
Physical Demands:
- Frequent walking and sitting; occasional stooping, kneeling, crouching, and reaching.
- Ability to lift and/or move up to 50 pounds (paper boxes, printed materials, supplies).
Work Environment:
- Office/production environment with loud noise at times; potential exposure to second‑hand smoke in certain on‑property areas.
- Deadline‑driven setting with frequent coordination across departments and vendors.
