As a Patient Ambassador Coordinator, you will support the daily operations of the Patient Ambassador program. You will focus on serving as the initial point of contact for potential patient ambassadors and coordinate with them. You will be responsible for accurate capture and maintenance of intake data, coordinating logistics for participation in pharma-sponsored events, and ensuring every ambassador feels heard, supported, and valued throughout their journey.
You will play a critical part in screening and organizing highly sensitive patient inquiries and personal information/submissions, including conducting outbound calls to follow up on inquiries and assess their interest in partnership opportunities.
You are highly organized, people-oriented, and comfortable engaging with patients both in writing and over the phone, as well as with handling multiple administrative and logistical responsibilities. Individuals with experience in hospitality, customer service, patient support, or event logistics will excel in this role.
This is a hybrid role out of our Philadelphia office reporting to a Vice President.

The base salary range represents the low and high end of the salary range for this position. This range may differ based on your experience and skill set, geographic location, and cost of living considerations. You Will:
- Be the point of contact for patient ambassadors—answering questions, sharing event information, and maintaining consistent communication.
- Review, organize, and assess inbound patient submissions to support ambassador recruitment and program growth.
- Conduct outreach calls to prospective patient ambassadors to confirm interest, gather information, and guide them through next steps.
- Coordinate travel logistics, including booking flights, hotels, ground transportation, and handling reimbursement or honoraria documentation.
- Prepare patient ambassadors for events and engagements, ensuring they feel comfortable, informed, and supported.
- Manage scheduling, calendars, onboarding materials, and ambassador documentation.
- Support data entry, tracking, and reporting to ensure accurate records and compliance.
- Partner with our teams (comms, advocacy, compliance) to ensure seamless execution of ambassador activities.
- Help resolve issues quickly and professionally to maintain a positive experience for ambassadors.
- 2 years of experience in customer service, hospitality, administrative coordination, logistics, or related fields.
- Comfort in conducting outreach calls, gathering information, and engaging individuals who may be unfamiliar with the program.
- Ability to communicate with empathy, warmth, and clarity.
- Strong organizational skills with an attention to detail.
- Comfort working with individuals living with chronic health conditions; displaying the necessary discretion and professionalism in all communications.
- Proficiency in basic administrative systems (Scheduling tools, CRM platforms).
- Willingness to travel occasionally to support ambassador events.
