Position Overview
The Sales Operations Coordinator is responsible for managing the entire client lifecycle from contract signing through final payment and substantial completion.
This role combines:
- Client communication
- Design execution
- Permitting & pre-construction coordination
- Administrative support for sales reps
You will act as the bridge between the client, sales team, and operations, ensuring every project moves forward efficiently and professionally.

- Projects move quickly from contract → excavation
- Clients feel informed, confident, and taken care of
- No delays due to missing permits, approvals, or documentation
- Sales reps are freed up to focus on selling
- Projects close cleanly with final payment collected and strong reviews
Key ResponsibilitiesClient Communication & Project Management (Full Lifecycle)
- Serve as the primary point of contact after contract signing
- Manage client communication from:
- Design → Pre-construction → Construction → Completion
- Maintain proactive, high-level communication throughout the project
- Set expectations and prevent delays or confusion
- Drive toward a 5-star client experience
Design & Layout Execution
- Create and modify 3D pool designs using VIP3D
- Finalize design selections with clients
- Produce:
- Layouts
- Construction-ready plans
- Ensure designs are accurate, complete, and buildable
Permitting & Utility Coordination (Full Ownership)
- Prepare and submit all required permits
- Coordinate with municipalities and inspectors
- Track permit progress and approvals
- Schedule and manage all 811 requests
- Ensure 811 locates are:
- Completed prior to excavation
- Maintained and kept current throughout the entire project lifecycle
This is a core responsibility of the role.
HOA Coordination (Client Support Role)
- Assist homeowners in navigating HOA requirements
- Provide necessary plans, documents, and guidance
- Track approval status and follow up as needed
Note: The homeowner submits HOA applications — you ensure they have everything required.
Payment & Documentation Management
- Collect:
- Deposits
- Progress payments
- Final (substantial completion) payment
- Ensure all documentation is complete:
- Contracts
- Selections
- Approvals
- Maintain organized and accurate job files
Sales Team Support (Administrative Function)
- Act as a dedicated administrative partner to sales reps
- Handle:
- Scheduling
- Coordination
- Follow-ups
- Documentation
Internal Structure & Workflow
- Work under the direction of the Admin Director
- The Admin Director:
- Assigns tasks
- Defines processes
- Provides instruction
You will:
- Execute tasks as directed
- Support the system and workflow
- Help reduce workload on leadership
Transportation Requirement
- Drive sales reps to and from appointments so they can work while in transit
- Travel to job sites as needed
Pay: $700.00 per week
Work Location: In person
